Job Summary:
The Office Manager will serve as the operational backbone of our new pediatric dentistry expansion in Scottsdale, overseeing daily operations, staff management, and strategic growth initiatives for Palm Valley Pediatric Dentistry and Orthodontics practice. Key Responsibilities
Operational Leadership: Manage all front- and back-office functions, including scheduling, inventory management, compliance with HIPAA and pediatric dental regulations, and ensuring seamless patient flow in a high-volume, child-centered environment.
Team Management & Development: Hire, train, and supervise a team of dental hygienists, assistants, receptionists, and support staff (5-10 direct reports). Act as a supportive mentor to subordinates, promoting professional growth, resolving conflicts, and maintaining high morale in a collaborative setting.
Team Building: Cultivate a fun, inclusive team culture tailored to pediatric care—think team-building activities, recognition programs, and a focus on work-life balance to inspire excellence and retention.
Marketing & Business Development: Lead local marketing efforts to build our brand in the community, including social media campaigns, partnerships with schools/pediatricians, open house events, and patient referral programs. Track ROI on initiatives to drive new patient growth for our startup office.
Financial Oversight: Assist with budgeting, billing, insurance claims, and revenue cycle management to support the practice's financial health from launch.
Patient Experience: Champion exceptional service for children and families, handling inquiries, feedback, and escalations with empathy and a child-friendly approach.
Continuous Improvement: Identify opportunities to streamline processes and implement pediatric-specific best practices as the office scales.
Qualifications and Requirements
Experience: Minimum 3-5 years in a pediatric dentistry office, with at least 2 years in a supervisory or managerial role. Proven track record in a similar clinical setting is essential.
Education: Associate's or Bachelor's degree in Business Administration, Healthcare Management, or a related field preferred; equivalent experience will be considered.
