We are seeking a highly organized, and customer-focused Office Manager to oversee all administrative functions within our machine shop. This role is central to ensuring smooth internal workflows and delivering exceptional service to our clients. The schedule is somewhat flexible, but currently 7am-3:30pm M-F. The ideal candidate will have experience in manufacturing environments, strong communication skills, and familiarity with procurement and financial systems
Key Responsibilities
Office & Administrative Management
o Oversee daily office operations, including supplies, and vendor coordination
o Maintain accurate records for purchasing, inventory, and job tracking
o Manage incoming/outgoing communications, documentation, and reporting
Customer Interaction & Support
o Serve as the primary point of contact for customer inquiries, order updates, and service coordination
o Ensure timely and professional communication with customers regarding quotes, deliveries, and billing
Shop Floor Coordination
o Collaborate with Operations to align office functions with shop schedules
o Track purchase orders, job progress, and delivery timelines
o Assist with timekeeping, labor reporting, and shift coordination
Procurement & Financial Support
o Assist with purchasing materials and supplies
o Support AP/AR processes including invoice tracking, payment follow-ups, and reconciliation using platforms like Ariba
o Ensure accurate billing and reporting
