Administrative Assistant to Controller
This is a full-time position we are looking for serious applicants with the experience requested. This job will assist the Company Controller Position. This position will include Monday through Friday Hours 7am - 3:30 pm (flexible if needed) This is an hourly paid position. Payday is every Friday. Benefits are offered after a (3 month) probationary period.
Our company is construction based - We are a Steel Fabricating and Erecting company. Our projects are valley-wide with a few of out-of-state projects. This position is only based here in Surprise, AZ - Office is located in North Surprise area. (This is NOT a virtual position currently. )
Preferred Knowledge (but not required)
2+ years of proven experience in accounting support, preferably in accounts payable/receivable and billing functions
Associate or bachelor’s degree in accounting, Finance, or related field (or equivalent experience)
Experience in construction accounting or subcontractor billing is highly preferred
Key Responsibilities:
Accounts Payable
Process vendor invoices in Quick books
Track purchase orders and subcontracts
Prepare and manage preliminary lien notices and lien releases requirements for each project
Coordinate certificates of insurance
Prepare and maintain Tax Exemption Certificates
Reconcile vendor statements and resolve discrepancies
Maintain accurate electronic records and project documentation
Accounts Receivable
Prepare and submit monthly billings (AIA format) using project billing platforms (Textura, Oracle, Procore, GC Pay)
Work closely with Project Managers on collecting/posting customer payments
Coordinate with general contractors and vendors to ensure timely and accurate billing and payments.
Filing - Scanning-Data Entry
Job Setup Support
File and track our preliminary lien notices and amendments to maintain our lien rights
Request and maintain our Certificate of Insurance for each project
Maintain complete and organized job files and documentation
There are two owners you will also help them with any tasks they assign which will be any administrative type items they are not able to get done and need help with.
Fill in for Controller when out of office.
Office supply management
Financial Assisting
Employee credit card reconciliations and receipt organization.
HR Assist:
Some light HR duties - Benefit documentation and new Hire Documentation packets mailout.
