Architectural Firm Administrative Assistant
We are an architectural firm dedicated to innovative design and building excellence. We are looking for an organized and detail-oriented Architectural Administrator to support our growing team. The ideal candidate will have a passion for architecture and design, strong administrative skills, and a keen eye for detail. Key Responsibilities:
Administrative Support: Provide general administrative assistance to the architecture team, including managing schedules, organizing meetings, and maintaining project documentation.
Project Coordination: Assist in the preparation of project proposals, contracts, and presentations. Track project milestones and deadlines.
Document Management: Manage, organize, and archive architectural drawings, construction documents, and contracts in both digital and physical formats.
Client & Vendor Liaison: Serve as a point of contact for clients, vendors, and other stakeholders. Coordinate communications and ensure all parties are updated on project developments.
Office Management: Oversee office supplies, equipment maintenance, and day-to-day operations of the office to ensure a smooth workflow.
Financial Tracking: Assist with invoicing, budget tracking, and expense reporting.
Quality Control: Ensure that all documentation, contracts, and project materials are compliant with industry standards and company policies.
Qualifications:
Education: Degree in Business Administration, or related field (preferred).
Experience: Minimum of 2 years of experience in an administrative role, preferably within an architecture or design firm.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Apple products.
Strong Communication Skills: Excellent presentation, written, and verbal communication skills. Ability to liaise with clients, architects, and contractors professionally.
Attention to Detail: Strong organizational skills with the ability to prioritize tasks and meet deadlines.
Problem-Solving: Ability to anticipate issues and proactively resolve challenges.
