A growing company in the facilities maintenance industry is seeking a detail-oriented and proactive Office Assistant to join our administrative team. Key Responsibilities:
-Answer inbound phone calls and respond to emails from customers, staff, and management.
-Provide excellent customer service while maintaining a professional and positive company image.
-Assist in managing administrative tasks related to major chain accounts within our operations and workforce management software.
-Coordinate scheduling of inbound work requests and work completion with Operations and Area Managers.
-Collect, organize, and maintain accurate records of work requests, workforce software updates, and billing processes.
-Review and maintain updated Accounts Receivable Aging reports for chain accounts.
-Maintain logs for all contracted work and ensure billing is completed in a timely manner.
-Support the Office Manager with various administrative tasks as needed.
Qualifications & Requirements:
-Bilingual (English/Spanish) is REQUIRED.
-Strong proficiency in Microsoft Office, with a focus on Excel and Word.
-Ability to meet deadlines, multitask, and work independently with minimal supervision.
-A strong sense of responsibility, ownership, and attention to detail.
-Self-motivated, eager to learn, and able to adapt to changing priorities.
-Exceptional verbal and written communication skills.
