Job Title: Part-Time Maintenance Assistant (In-Office)
Location: Phoenix, AZ – 16th St. & Camelback
Schedule: Monday–Friday, 10:00 AM – 2:00 PM (20 hours/week)

About the role:
We’re seeking a detail-oriented, service-minded Maintenance Assistant to support our Maintenance Manager with day-to-day coordination for our residential portfolio. This is an in-office position focused on smooth, timely maintenance operations and excellent resident/vendor communication.
What you’ll do:
Intake, create, and track maintenance work orders in our property management software
Schedule and dispatch vendors; coordinate access, keys, and lockbox codes
Communicate with residents regarding appointment windows, updates, and follow-ups
Monitor work order progress, ensure timely completion, and escalate urgent issues
Assist with turnover/make-ready coordination for move-ins and move-outs
Collect, review, and route invoices; confirm scope and pricing against approvals/POs
Maintain vendor records (W-9s, COIs), update contact lists, and help onboard new vendors
Assist with ordering parts/supplies and tracking inventory
Prepare daily/weekly status reports for the Maintenance Manager
Document all communication and outcomes for compliance and audit readiness
Support after-hours/emergency triage process as directed (only when covering for management out of office)
General administrative tasks: filing, data entry, scanning, and key management
What you’ll bring:
1+ year of experience in maintenance coordination, admin, property management, facilities, or a fast-paced admin/customer service role (property management experience preferred)
Strong communication skills via phone and email; calm, professional demeanor
Excellent organization and follow-through; able to juggle multiple priorities
Tech savvy: property management or ticketing systems (e.g., AppFolio, Buildium, Yardi), Microsoft 365/Google Workspace
Basic understanding of residential maintenance terminology and common repair timelines
Familiarity with Phoenix metro area a plus
Bilingual English/Spanish a plus
Knowledge of Fair Housing basics and resident privacy best practices preferred
Work environment and requirements
In-office role at 16th St. & Camelback
Ability to sit, type, and talk on the phone for extended periods; occasional lifting up to 25 lbs (keys, small supplies)
Reliable, punctual, and team-oriented
Hourly: $20/Hour
Part-time, weekday schedule M-F 10am - 2pm.
