Organization:SDMC-Sutter Delta Medical CenterPosition Overview:The Unit Secretary functions as an integral member of the patient care team under the direction of the Charge Nurse and the supervision of the Clinical Operations Supervisor and Manager. Coordinates daily activities of the Operating Room under the direction of the Charge Nurse, Clinical Operations Supervisor, and Manager.
Directs and coordinates the flow and timing of patient care activities & procedures at the OR Control Desk. Answers telephones, communicates information, takes messages and directs call appropriately.
Demonstrates exceptional phone etiquette at all times.
Processes add-on cases, cancellations, move-ups and delays according to protocols. Notifies appropriate staff and departments of pertinent scheduling information.
Updates patient information in the electronic patient tracking system in a timely manner, per guidelines. Locates patient information as needed: X-Ray reports, EKG's, H&P's, lab results, etc.
Uses computer program for patient inquiry, test result retrieval, and ordering services for patient care.
Promotes and maintains a professional and efficient environment at the OR Control Desk.
Organizes and maintains an appropriate inventory of office supplies, forms and equipment.
Sorts and delivers mail to appropriate areas within the department. Ensures Control Desk is staffed appropriately, t all times.
Acts as unit receptionist, handling inquiries from patients, families/friends, physicians and other staff. Keeps Control Desk area organized, neat and quiet.
Provides resource and support to staff and physicians in locating policies and procedures. Anticipates needs of unit, within scope of responsibility.
Ensures unit office equipment is maintained in good working order. Contacts appropriate person(s) for repairs in a timely manner.
Provides secretarial/clerical support for the department as requested (including data entry).
Keyboarding is accurate, precise and at minimum of 35 words per minute. Spelling is accurate.
When doing data entry, ensures all required information is accurate and timely.
Communicates clearly and effectively, orally and in writing, at all times.
Is polite, courteous and respectful at all times.
Communicates in a timely manner with co-workers and management about job-related issues/reports.
Shares and collects information accurately and in a timely manner.
Reports off to relief staff when taking breaks or leaving the immediate work area. Promotes a cooperative working relationship by facilitating and enhancing communication, displaying honesty, respect and sensitivity to cultural differences.
Expresses and accepts feedback in a professional manner.
EDUCATION
Equivalent experience will be accepted in lieu of the required degree or diploma.
HS Diploma or equivalent education/experience
Associate's: Business College or AA degree preferred
PREFERRED EXPERIENCE AS TYPICALLY ACQUIRED IN:
Minimum (recent) 6 months pertinent experience in an acute-care hospital setting.
SKILLS AND KNOWLEDGE
Medical terminology
Thorough understanding of surgical and procedural terminology Windows-based computer applications
Keyboard skills - typing @ 35 wpm
Computerized scheduling system
Microsoft Office (Excel, Word, Outlook)
Excellent communication skills and phone etiquette
Ability to spell accurately
Ability to work cooperatively with others and adjust to changing work situations.
Ability to communicate clearly and effectively, orally and in writing, in English.
Strong ability to handle detail-oriented work, organize, prioritize and make decisions within defined boundaries and using appropriate resources as needed.
