Description About the Role:We have partnered with a prestigious law firm that is seeking a skilled Legal Secretary with experience in Trust & Estate law to join the team as a Floater Secretary. This role will provide high-level support to up to four partners, assisting with document preparation, calendaring, client correspondence, and administrative tasks. The ideal candidate thrives in a fast-paced environment and can seamlessly adapt to different working styles.Key Responsibilities:
Provide legal and administrative support to multiple Trust & Estate partners as needed.
Prepare, proo, and format estate planning documents, including wills, trusts, and probate filings.
Assist with client communication, scheduling meetings, and managing attorney calendars.
File, scan, and maintain legal documents in an organized and confidential manner.
Handle e-filing and court document preparation, ensuring compliance with filing deadlines.
Manage billing, time entry, and expense reports using firm-approved software.
Serve as backup support for other legal secretaries as part of the floater team.
Coordinate travel arrangements and other administrative duties as assigned.
Requirements
Qualifications:
5+ years of experience as a Legal Secretary with a focus on Trust & Estate law.
Strong knowledge of estate planning, probate procedures, and court filing requirements.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and legal document management systems.
Experience with iManage, 3E, ChromeRiver, Westlaw, or LexisNexis preferred.
Excellent organizational skills, attention to detail, and ability to multitask.
Strong written and verbal communication skills.
Ability to work fully onsite in Burlingame and support multiple attorneys efficiently.
