Description Job Description:We are seeking an Office Assistant to provide comprehensive clerical support to department operations. The ideal candidate will possess strong organizational skills, attention to detail, and a customer-centric approach. Duties include receptionist responsibilities, clerical tasks, handling sensitive information, and assisting the public with inquiries. This role requires proficiency in office procedures, computer applications, and excellent communication skills. This position would be onsite Monday - Friday, in Citrus Heights.Responsibilities:

Act as a receptionist, answering phone calls and assisting visitors with inquiries.

Respond to letters and routine correspondence, process incoming/outgoing mail.

Register participants in programs, handle payments, and maintain accurate records.

Type, proo, and draft various documents using word processing software.

Create and maintain department forms, templates, and procedures.

Perform field duties such as running errands and inspecting properties.

Compile and maintain data, including reports and records for programs.

Track expenditures, maintain inventory, and process supply orders.

Respond to complaints and requests for information, coordinating with other departments as needed.

Perform general clerical duties including filing, copying, and faxing.

Schedule and assist with meetings, prepare meeting facilities, and arrange refreshments.

Coordinate and schedule department personnel meetings and training.

Process routine permits according to established procedures.

Assist in supporting boards, committees, or meetings as assigned.

Build and maintain positive relationships with coworkers and the public.

Requirements

Minimum Qualifications:

Knowledge of modern office methods, procedures, and computer equipment.

Ability to provide high-quality customer service and problem solve effectively.

Proficiency in office software applications and equipment.

Strong communication skills, both written and verbal.

Ability to maintain confidentiality and handle sensitive information.

Capacity to learn and apply local, state, and federal laws and regulations.

Two years of clerical and/or customer support experience.

Experience and Training:Any combination of experience and training that provides the required knowledge and abilities is qualifying.
