Payroll / Bookkeeping Staff

We are looking for a Full-Time, In-House Payroll and Bookkeeping Staff member who can start immediately. This position is part of a close-knit team which handles various levels of payroll and bookkeeping for multiple clients. You will have assigned clients, but during busier times may be asked to assist other members of the team.

Payroll – process full-service payrolls, including electronic payment of taxes, garnishment calculations with payments, retirement payments, quarterly balancing and reporting and processing of W-2’s. Prevailing wage calculations and Certified Payroll reporting. Complete Worker’s Comp Audits, as necessary.

Bookkeeping – data entry of checks and / or deposits. Bank reconciliations. General ledger entries which may include Fixed Assets, interest vs principal on loans, cash to accrual adjustments, etc. Reconcile financial statements. May also include creation / balancing of Formal and / or Trust accountings. Work closely with tax preparers for annual entries needed for tax return preparation.

Billpay – cash position review, tracking due dates and payment of bills for various types of clients, including Trusts and small businesses.

Sales Tax Returns – calculate, prepare and e-file CA sales tax returns on a monthly or quarterly basis.

Property Tax Statements – complete annual 571-L forms based on client information provided.

1099’s – process and send annual 1099 forms, including researching missing recipient information.

Document Management – scanning documents into electronic file cabinet software.

Accounting / Payroll processing software used is Thomson Reuters – ACS, Fixed Assets CS, File Cabinet and Practice CS. Also needs advanced Excel knowledge, in addition to Word, Outlook and the Internet. QuickBooks knowledge would be helpful but is not required. We expect to train this candidate on the accounting / payroll processing software, but due to our immediate needs, we require knowledge in the above processes & procedures.

We are looking for a candidate who is detail-oriented, highly organized and has a sense of humor even during stressful times. Ability to multi-task is a necessity. Our team works hard but we are a family who support each other and depend on one another to get the job done each day.

Schedule is Mon – Fri, 8:30 am – 5:00 pm with a flexible 30-minute lunch. Benefits offered include 401k, health, dental, and vision insurance, paid holidays and vacation accruals. Annual raises and bonuses are evaluated each year.
