Board Secretary/Administrative Assistant

Description of Role: Typical duties include but are not limited to: All statutory duties of Board Secretary, including but not limited to a wide variety of paraprofessional and administrative duties, involving a high degree of accuracy, confidentiality, tact, discretion, trust, and independent judgment with only limited direction and supervision. Does not supervise staff. This position must understand and implement laws, regulations, policies, and procedures applicable to the District including but, not limited to election process, economic disclosure, the Brown Act, Public Records Act, public records and records management. The position requires the use of excellent written and verbal communication and listening skills. It must also exercise good public relations skills, and the ability to work cooperatively and tactfully with elected and appointed officials, the public, media and staff. The Board Secretary is the custodian and responsible for the safekeeping and maintenance of, official records, ordinances, resolutions, minutes, contracts, and other formal documents and records of the District. The position provides a wide range of executive level support and communication for the General Manager and the Board of Directors and other related duties as assigned.
Hours: This is a full-time non-exempt, confidential position. Schedule includes monthly evening board meeting.
Salary: $22.00 - $28.07 per hour plus District benefits
Qualifications:
Modern office procedures, methods and computer equipment and business machines
Verbal and written communication skills (Board Members, public, customers and staff)
Math skills, including computational capabilities
Knowledge of MS Office Suite and Publisher
Record keeping practices and procedures
Make travel arrangements for Board Members and General Manager
Maintain a variety of complex records and files
Establish and maintain effective working relationships with staff, general public and various agencies
Advanced use and operate typewriter, calculator, computer, computerized data information system, word, excel and scanner
Perform tasks in an organized and accurate manner
Proper English, spelling, grammar and punctuation
Ability to follow or adhere to all District policy and procedures
Requirements:
High school diploma or equivalent and at least two (2) years of college or technical school; advanced clerical training required
A minimum of five (5) years of related experience in an executive level assistant position with responsibility for providing administrative support with a public agency and three (3) years working with elected officials is preferred
Driving record which meets MCSD insurance requirements
Ability to obtain current fingerprint identification and negative criminal history results from the Department of Justice upon employment
Pass credit check
Ability to pass a pre-employment physical and drug screen
Valid Class C California Driver License
