We are currently hiring for the following position:

Position: Medical Front Office Specialist

Location: Eureka, CA

Status: Full Time, Benefits Eligible

Hours of the Position: Monday “ Friday, 9am to 6pm.

Job Summary: Performs Front Office related duties in a fast-paced medical office environment to include all aspects of customer service, patient intake, scheduling, insurance coordination and collection of patient payments.

Essential Job Functions:

Scans all new patient documents into WebPT upon patient arrival.

Ensures patient visits and procedures are pre-authorized by insurance companies including but not limited to HMOs, Veterans Affairs (VA), United Healthcare (UHC) and Sisk III.

Acquires signature of patient and/or family member, as appropriate, on all required patient forms and ensures all forms are fully completed.

Assists patients or family members with completion of required forms as needed.

Maintains all patient forms and documentation for patient records and coordinates all patient files, including but not limited to, setting up patient files, and discharging patient files when care is no longer needed.

Pulls and prepares current patient charts with functional questionnaires as appropriate.

Builds and manages provider schedule, including but not limited to, creating future schedules for providers, scheduling patient appointments, identifying gaps in schedule and filling schedule as needed, contacting patients on waiting list to fill daily schedule, contacting patients who have been moved on the schedule, adjusting schedule due to absence of staff member, cancelling patient appointments due to patient cancelling and printing next days schedule to post in facility.

Manages Independent Exercise Program/Swimmers, including but not limited to, collecting payments and managing sign in sheet.

Manages daily statistics, including but not limited to, determining PT co-signatures on PT Assistant charts.

Maintains familiarity with various types of medical insurance and insurance websites.

Manages incoming phone calls, voicemail messages, and incoming/outgoing faxes.

Collects and processes copays, deductibles and/or other monetary payments from patients. Directs patients to billing company as needed and prints ledgers for patients upon request.

Supports and/or provides coverage for Back Office as needed.

Keeps workstations presentable (i.e. no eating and no electronics) and HIPAA compliant.

Participates in ept Rehabilitation in-services and staff meetings as necessary.

Participates in and adheres to, as required, the HIPAA Policies of ept Rehabilitation.

Participates in and contributes to the Quality Assurance Program of ept Rehabilitation.

Offers friendly, courteous and confidential assistance to every patient of ept Rehabilitation to ensure that the patient has a positive experience.

Assumes administrative tasks, special projects and other related activities as assigned by the Executive Assistant/Board Members

Works in another location, other than the office currently assigned, as needed to cover other employees who may be out of the office.

Any and all other duties assigned.

Minimum Position Qualifications:

Two (2) or more years in an office environment role to include customer service.

PC proficiency with various software applications to include MS Office (Word, Excel).

Excellent verbal, listening, written, and interpersonal skills.

Ability to interact with a diverse customer population and effectively interface with all levels of customers, employees, and other entities (doctors offices, insurance companies, etc.).

Strong organizational, time management and project management skills.

Ability to manage several projects simultaneously while working in a fast-paced environment.

Ability to work independently when necessary.

Preferred Position Qualifications:

Experience in a medical office environment preferred.

Knowledge of medical terminology, health insurance, and Electronic Medical Records (EMR) preferred.

Physical Requirements:

Ability to frequently use repetitive motions of the wrist, hands, and/or fingers.

Work requires visual acuity in order to prepare and analyze data at a distance close to the eyes.

Ability to sit or stand for extended periods of time.

Ability to hear and speak clearly.

Ability to travel to other office locations in Fortuna or McKinleyville as needed.
