Temporary Remote Position

Reports to Partners and Operation Manager

$20-23

15-30 hours per week, 6-12 months

The administrative assistant is the supportive force on our team and plays a critical role in the team’s success. The ideal candidate will be a problem solver who is detail oriented and very organized. This person would be great at time management and completing tasks independently. The candidate would also be an amazing communicator and have impeccable interpersonal skills. Under the direction of the Operations Manager, this person would complete a wide variety of tasks to support the entire office.

Essential Job Functions

Provide clerical and administrative support while maintaining filing systems in Excel, QuickBooks and Dropbox.

Onboard new employees by setting their account up in Gusto, Verifying them through E verify and ensuring they have completed the necessary Sexual Harassment Training.

Process employee documentation and records and keep employee databases (such as QuickBooks, Hour Timesheet, Gusto, Calsavers) up to date.

Ensure that all information required for effective payroll administration is entered into Gusto in an accurate and timely manner.

Assist the Operations Manager with formulating policies, procedures, and changes, as well as communicating all updates to employees.

Assist in HR projects such as performance evaluation, organizational development initiatives, culture enhancement programs, or employee engagement activities.

Analyze employee feedback to identify trends and areas for improvement in employee retention and satisfaction.

Fulfill Development client proposal requests and address related issues.

Keep signed proposals, and plans in designated folder

Attend weekly team meetings and be prepared for proposal inquiries

Attend meetings to organize yearly Retreat. Organizing retreat will include reaching out to speakers, creating documents and providing support as needed.

Perform data entry and associated tasks for income and expenses

Keep invoice trackers up to date

Correspond professionally with clients and team, via phone, video, and email.

Attend team and/or client meetings.

Other duties as assigned.

Required Skills and Qualifications

High school diploma or equivalent

Proven administrative experience

Strong communication and listening skills

Excellent organizational skills with an eye for detail

Proficient in Microsoft word and excel

Excel Proficiency Exam required during interview phase
