Summary:

This is not a desk job. This is an active, hands-on leadership role in a 90 room, Four Diamond, luxury lifestyle hotel in the Temecula Wine Country. You will be a good fit for this role if you have successfully managed a boutique property, have the experience required to step in and assist in any department of the hotel, enjoy developing staff, regularly exceed guests’ expectations, easily balance administrative duties, and enjoy an active presence on the floor. This role is for a leader who can lead by doing, greet and check in a VIP guest, balance room rates, adjust inventory, assist with making a bed, repair a fixture and expo food, all in the same one-hour period. A person who understands how to engage staff and exceed guest expectations by example.

The Hotel Manager will lead the sales efforts to increase revenue and maximize occupancy and direct the day-to-day operations of the hotel in conjunction with the Rooms Manager, Housekeeping Manager, Facilities Manager, Food & Beverage Manager and Executive Chef. The position reports to the Managing Partner.Essential Duties and Responsibilities STANDARDS AND POLICIES:

Ensure and oversee the safety of guests and associates. Be familiar with hotel emergency procedures and provide calm, reassuring assistance to guests and fellow associates in the event of an emergency.

Ensure compliance with all federal, state, and local health, safety, sanitation, and alcohol guidelines.

Manage and adhere to environmental standards set by the hotel.

Support the Company culture, reinforce the brand, and adhere to the Ponte values and service standards.

Perform any other duties as requested by the Managing Partner.GUEST RELATIONS:

Diplomatically and effectively handle all guest complaints, including difficult and unusual situations and ensure guests are satisfied with the outcome by using the guest recovery program.

Manage all guest and associate incidents and accidents. Complete documentation and follow up on any action items with HR and the Controller.

Develop and be familiar with all hotel information necessary to enhance customer satisfaction, including rate structures, specials and restrictions, room types, and hotel services and rates.GUEST ROOMS:

Work with the Rooms Manager and Housekeeping Manager to coordinate daily room inspections, assignments, arrivals, departures, deep cleans and projects according to hotel occupancy, special events and guest requests.

Complete and review daily MOD report and review daily arrivals list and pass downs with the Guest Services Supervisor and Rooms Manager.

Preserve excellent levels of guest reviews.

Fill in where needed to maintain service standards and efficient operations.FACILITIES

Ensure hotel is maintained at 4-diamond hotel service standards.

Complete monthly safety inspections.

Manage all facilities staff including the Facilities Manager, maintenance tech and groundskeepers.

Perform property walks, develop, present, and execute on improvement plans.

Ensure that the facility is clean, sustainable, and running to standards.

Oversee the PMS platform for maintenance and repairs and coordinate with the Facilities Manager

Plan and coordinate all installations and refurbishments with Managing Partner and Facilities Manager.

Ensure compliance with state and federal regulations.

Establish and maintain Cal/OSHA safety standards; implement safety programs and trainings.

Manage energy efficiency.FOOD & BEVERAGE:

Work with the Food and Beverage Manager and Executive chef on all aspects of F&B including front of house and back of house operations focusing on safety, guest service, operational efficiency, and financial results.

Work with the Executive Chef on menu design and F&B Manager on execution with FOH staff including attracting, recruiting, training, and coaching talented staff.

Preserve excellent levels of guest reviews.

Comply with all health and safety regulations.MARKETING

Lead, create and implement special rate and theme packages in collaboration with Marketing department to improve occupancy and revenue.

Build and activate packages in reservation system.

Monitor sales and demand and evaluate profitability.

Monitor Trip, YELP and Open Table platforms and work with Marketing on responses

Regularly monitor hotel website and communicate changes to Marketing.SPECIAL EVENTS

Coordinate with the Director of Sales and Catering for Wedding, group, and event sales at the hotel.

Review group resumes with FOH and BOH hotel staff.

Ensure Front Desk Associates are informed of group needs and prepared for group arrivals and departures.

Schedule labor is focused on the group.

Attend weekly BEO meetings with the culinary and special events team.

Manage corporate accounts and ensure reservations and billing is set up appropriately for the Accounting ManagerDEPARTMENT STAFFING, TRAINING AND MANAGING:

Work with department Managers to interview, train, coach, and counsel associates in conjunction with HR.

Be responsible for all documentation regarding discipline, performance, and associate relations with HR.

Develop and maintain the training program to onboard new associates.

Ensure associates have met standards based on graded assessments.

Understand and train staff members on safety and ADA regulations.

Establish and maintain Cal/OSHA safety standards; implement safety programs and trainings.COMMUNICATIONS:

Ensure that all staff members are kept informed of property activities and status changes.

Maintain a professional working relationship and promote open lines of communication with other managers, and departments.ADMINISTRATION AND MANAGERIAL:

Lead all management meetings and weekly operations meetings.

Step in as needed and oversee any department in the absence of the Manager.

Prepare yearly sales budget for guest rooms.

Prepare agenda and execute associate staff meetings.

Create associate work schedule based on labor budget and forecasted occupancy.

Review weekly timecards and labor reports for accounting.

Ensure labor hours and associate scheduling meet labor laws.

Utilize the hotel PMS to review guest stay patterns and pacing to maximize revenue by adjusting rates and availability.

Monitor room rates and availability and make changes where needed by removing 2-night stay requirements and restricting discounts as needed.

Oversee, reconcile, and confirm Online Travel Agent (OTA) reservations and verify billing is correct.

Ensure reservations are coded properly and ensure proper accounting of rates and OTA type.

Complete weekly and monthly room revenue forecasts.

Work with the Guest Services Supervisor on Sundry store retail inventory, orders, pricing, and purchase trends.

Understand and uphold the AAA – Four Diamond rating guideline.

Consistently improve overall operations, and guest satisfaction.

Must meet and maintain hotel at 4 Diamond Standards by passing annual AAA Inspection.Knowledge, Skills and Abilities:

Provide direction to associates and treat all associates and guests in a respectful manner.

Must have a minimum of three years of hotel experience in a luxury or lifestyle hotel

Must exhibit strong College level verbal and written communication skills.

Must have exceptional grooming standards that are consistent with company guidelines.

Must be outgoing and able to approach guests and initiate conversation and actively connect with others.

Must be able to have difficult conversations in challenging situations with staff and guests.

Show initiative.

Make quick and sound decisions.

Fast, accurate computer skills on multiple platforms including Microsoft Word, Excel, Reservation system, and PMS software.
