Responsibilities:
- Greet clients and visitors in a friendly and professional manner
- Answer and direct phone calls, taking accurate messages when necessary
- Schedule and coordinate appointments, meetings, and conference room bookings
- Manage attorney calendars, ensuring all deadlines and commitments are met
- Draft and prepare legal documents, correspondence, and memos
- Conduct research and compile information as requested
- Assist in the preparation of court filings and document filings
- Maintain and organize physical and electronic files, ensuring confidentiality and accuracy
- Coordinate travel arrangements and prepare itineraries as needed
- Perform general administrative tasks, including photocopying, scanning, and faxing
- Collaborate with attorneys and support staff to ensure smooth office operations
Requirements:
- High school diploma or equivalent; additional education or certification in office administration is a plus
- Proven experience as an administrative assistant or in a similar role, preferably in a law firm setting
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Strong organizational and time management skills with the ability to prioritize tasks effectively
- Attention to detail and high level of accuracy in all work
- Ability to handle sensitive and confidential information with integrity
- Professional demeanor, with exceptional interpersonal skills
- Strong problem-solving and multitasking abilities
