Position Summary

We are seeking a highly organized and experienced Office Manager to oversee daily administrative and operational functions of our home health care agency. The Office Manager will ensure compliance with state and federal regulations, supervise office staff, support clinicians, and maintain smooth day-to-day business operations.

Key Responsibilities

Oversee and coordinate daily office operations, ensuring smooth workflow.

Manage patient intake process, verify insurance, and maintain accurate patient records.

Monitor compliance with Medicare, Medicaid, and private insurance documentation requirements.

Supervise and support administrative staff, including scheduling, training, and performance oversight.

Liaise with clinicians to ensure timely submission of visit notes and plans of care.

Track and manage payroll hours, mileage, and employee timekeeping.

Generate and analyze key reports (productivity, referrals, outstanding orders, billing).

Serve as the primary contact for vendors, referrals, and regulatory inquiries.

Assist in accreditation, surveys, and audits to maintain agency compliance and high star ratings.

Qualifications

Previous experience in home health care or healthcare office management is strongly preferred.

Strong knowledge of Medicare and Medicaid compliance guidelines.

Excellent organizational and multitasking skills.

Strong communication skills (written and verbal).

Proficiency with Perfect Noteefied EMR system and Microsoft Office Suite.

Ability to handle sensitive patient information with confidentiality and HIPAA compliance.

Preferred Skills

Familiarity with CMS star ratings and Homecare Elite requirements.

Experience with payroll processing and billing oversight.

Leadership skills with the ability to motivate and support a small administrative team.
