A fast-growing litigation law firm is seeking a high-performing Legal Secretary who is committed to excellence, precision, and professional growth. This role requires someone who works independently, learns quickly, understands the legal work—not just copying and pasting—and becomes an essential part of a team that is rapidly expanding. We want someone who is committed to the practice of law, eager to learn, and fully invested in helping take the firm to the next level.

The Legal Secretary must operate with absolute accuracy, strong initiative, and the ability to handle a heavy litigation workflow. This is not a passive administrative job—this is an active litigation support role where performance directly impacts case outcomes.

CORE RESPONSIBILITIES

The Legal Secretary will be responsible for:

1. CALENDARING & COURT SCHEDULING

Managing and updating Google Calendar daily with hearings, deadlines, depositions, mediations, and court-ordered events.

Monitoring all court dockets and immediately updating any changes in hearings or deadlines.

Scheduling and coordinating CourtCall, LACourtConnect, and remote appearances.

Tracking statutes of limitations, 30/60-day responsive deadlines, discovery cutoffs, trial deadlines, service deadlines, and all litigation timeframes with zero errors.

2. LITIGATION CASE MANAGEMENT

Maintaining and updating the Litigation Excel Tracker and full case list.

Ensuring each case moves smoothly from intake → filing → service → discovery → depositions → trial preparation.

Keeping organized, updated case files and ensuring all documents are properly stored and accessible.

3. DRAFTING & E-FILING

Preparing complaints, summons, civil cover sheets, CMSs, RFOs, objections, stipulations, dismissals, notices, and all litigation pleadings.

E-filing in LACourt, E-File CA, and federal PACER/ECF as needed.

Preparing deposition notices, consumer/business subpoenas, notices of ruling, and other essential filings.

4. SERVICE OF PROCESS

Coordinating service of complaints, subpoenas, and all notices.

Filing proofs of service immediately and tracking progress.

Ensuring cases move from “filed” to “served” as quickly as possible.

5. DISCOVERY

Preparing and organizing basic discovery: Form Rogs, Special Interrogatories, RFPs, RFAs, deposition notices, and subpoenas.

Tracking all discovery due dates, responses, extensions, and follow-ups.

Maintaining clean discovery folders and tracking compliance and deficiencies.

6. ADMINISTRATIVE SUPPORT

Handling all case correspondence and client communications relating to scheduling and procedural matters.

Opening new files, preparing retainer packets, and maintaining client records.

Anticipating attorney needs and keeping litigation workflow moving without delay.

COMPENSATION & BENEFITS

Hourly Rate

$20 – $30 per hour, depending on experience, skill, and performance during probation.

Benefits

Paid Holidays: Begins after 120-day probation.

Sick Time: Accrues and becomes available after 90-day probation.

Paid Vacation: Two (2) weeks paid vacation granted after one full year of employment.

Guaranteed Holiday Bonus: After completion of 120-day probationary period.

Guaranteed Annual Hourly Raise:

5% – 10% per year, based on performance, reliability, and initiative.
