We are seeking an Operations Assistant to help keep Cause Communications humming. Well keep you on your toes juggling multiple tasks daily, from screening and directing phone calls and visitors, to maintaining our administrative systems and assisting with operational tasks. ABOUT US

Cause Communications is a nonprofit 501(c)(3) organization dedicated to helping purpose-driven organizations use communications to create positive social change. We provide best-in-class communications consulting services, training, and project management for nonprofits and public agencies working on important issues like healthcare, education, the environment, and social justice.

The Operations Assistant is responsible for ensuring the effective implementation of office processes and systems. This position requires a highly organized and detail-oriented individual with excellent customer service skills. This position reports to the Operations Director.

JOB RESPONSIBILITIES

General Operations/Administration

- Serve as the face of the company; offer a friendly, professional, and polished demeanor in person, and over the phone

- Ensure continuous front desk coverage during assigned hours; screen and route all incoming calls quickly, efficiently, and tactfully

- Manage incoming/outgoing mail, faxes, couriers, shipments, and the offices master calendar

- Maintain paper and electronic filing systems for the office; research and implement new systems as needed

- Weekly and monthly inventory and supply procurement, with support from Operations Director

- Help schedule staff or group meetings as needed

- Prepare documents for meetings

- Prepare for weekly staff meetings, take, and distribute minutes

- Print/Compile marketing capabilities kits

- Daily troubleshooting for all operational issues, with support from the Operations Director

Facilities Management and Office Duties

- Maintain clean and orderly office appearance, including the kitchen area and preparing the conference room for meetings

- Administer voicemail system, including holiday messages, coordinating repair, and/or maintenance as needed

- Provide limited administrative support to staff, including assistance with calendars/scheduling, creating documents, research, etc.

- Assist with managing contact databases

- Support on employee recognition: birthdays, anniversaries, etc.

- Errands as needed

Project Management Support

- Enter data into the project management database, including purchase orders, budgets, timelines, contacts, and grants information

- Research new office vendors/services as needed

- Generate and track client invoices in collaboration with the Operations Director

MINIMUM REQUIREMENTS:

EDUCATION AND EXPERIENCE

- Bachelors degree preferred

- Agency experience preferred, but not required

SKILLS AND ABILITIES

- Excellent communication and interpersonal skills

- Able to work in fast-paced environments

- Sensitivity to confidential matters

- Able to multitask and work well under pressure

- Strong work ethic and proactive, enthusiastic approach to daily endeavors

- Strong knowledge of Microsoft Office Suite, Mac operating systems

- Strong Internet research skills

- Problem-solver and resourceful

- Proactive thinker looking to up-coming projects and tasks

- Ability to work independently and also collaborate with the team

- Stay current with latest trends in production and technology; experience with WordPress, Mailchimp, Survey Monkey, and other social media platforms a plus

- Valid drivers license

The Operations Assistant is a full-time position.
