A Los Angeles area-based architectural design firm, is currently seeking to fill this part-time and temporary entry-level position. We are searching for a motivated, enthusiastic, and conscientious individual with the business acumen to join our team as soon as possible.
The Administrative Aide will assist the Operations Manager with general office duties, customer service, and document retention.
DUTIES AND RESPONSIBILITIES
Prepare, scan, and quality check documents/images being converted to digital format.
Prepare and organize documents to conform to quality control standards, office procedures, and system processes.
Ensure completeness of files; research missing documents, and/or remove non-essential materials.
Prepare reports regarding quality issues with project documentation, administrative records, and operational procedures.
KNOWLEDGE, SKILLS, AND ABILITIES
In general terms, it is preferred this individual be a recent graduate of college/university/trade school, with practical experience in a professional office setting. Dedication to exceptional quality of service is essential. Excellent grammar, spelling, communication skills and basic math skills are a strong advantage.
Resourceful, organized, with a penchant for problem-solving.
Ability to work at a demanding pace and on multiple projects.
Ability to resolve discrepancies by collecting and analyzing information.
Self-starter, able to work effectively and efficiently solo or as part of a collaborative team.
Proficient with Microsoft applications (2021 or later), such as Outlook, Word, and Excel are essential.
Working experience with Adobe Suite applications; Acrobat (essential) and Photoshop (plus).
Strong familiarity with Internet browsers, such as Microsoft Edge and Google Chrome, is essential.
