Position Overview:

As an Administrative Assistant, you will play a vital role in supporting our dynamic team. You will be responsible for managing daily administrative tasks to ensure our office runs smoothly. This position is ideal for organized, detail-oriented individuals who thrive in a fast-paced setting. This is a full-time non-exempt position working on-site out of our Long Beach office.

Responsibilities:

Work closely and collaboratively with the staff and management to provide administrative support

Manage form completion and document organization

Collect and maintain client information in the CRM database

Respond to client calls/emails

Demonstrate strong interpersonal skills with the ability to engage effectively with various levels of management, staff, and clients

Assist with various other office administrative tasks including filing, scanning, calendar management, answering phones, and running occasional errands

Ability to perform work involving independent judgment, accuracy and speed, maintain confidential files and prepare materials

Daily upkeep of spreadsheets

Composes, types, and distributes professional correspondence and memoranda

Proactively establishes, and maintains highly organized filing system; files correspondence and other records

Assists in development and implementation of department systems and procedures as needed

Problem resolution, knowing when to escalate issues to management versus issues that can be handled independently

Performs other related duties as assigned by management

Candidate Requirements:

High school diploma or equivalent required

1-2 years of relevant work experience in an office administrative support position

Ability to handle multiple projects simultaneously and work under pressure

Strong time management and organizational skills

A passion to succeed and grow and an extremely solid work ethic

Strong attention to detail

The desire to be a true team-player

Professional, presentable and clear

Excellent communication skills (written & verbal)

Strong critical thinking and problem-solving skills

Reliable transportation

Experience in plumbing, construction, or similar industries a plus but not required
