Overview:

LA Apartments is seeking a highly organized, detail-oriented, and efficient Administrative Coordinator to join our property management team. This role is crucial in ensuring accuracy, efficiency, and effective communication across all administrative processes related to leasing, move-outs, bonuses, rent collections, and tenant inquiries. The ideal candidate will thrive in a fast-paced environment, possess excellent communication skills, and be committed to maintaining the highest standards of administrative support in accordance with LA Apartment’s established policies and procedures.

Key Responsibilities:

Prospect and Lease Request Management:

Conduct thorough analyses and reviews of all lease requests for accuracy, verifying details such as Move-in Date (MID) and ensuring all applicable charges are included.

Act as the primary liaison between property managers and the lease processing team, ensuring all lease documents are accurate and complete. Promptly notify managers of any discrepancies or missing information.

Move-Out Coordination:

Verify that 30-day notices and move-out reports are submitted accurately and on time, and review move-out documentation for completeness.

Communicate promptly with managers regarding any discrepancies or delays in the submission of move-out notices and reports.

Rent Collections Oversight:

Ensure rent rolls are accurately completed, with each payment listed individually. Verify the correctness of submitted checks, ensuring they match ledger entries and dollar amounts.

Address any discrepancies with property managers directly, providing guidance on proper submission procedures. Monitor the timely submission of rent collections, application fees, and move-in funds, ensuring adherence to cut-off times for delivery days.

Rent Reminder Oversight:

Review tenant rent reminders forwarded by the admin office, auditing to ensure accurate information is provided.

Address discrepancies with the admin office, aiming to reduce the amount of erroneous information distributed to managers and tenants.

Tenant Inquiry Support:

Review tenant inquiries forwarded by managers, especially those related to balances and rent increases, ensuring accurate information is provided.

Train and support managers in handling common tenant inquiries directly, reducing unnecessary referrals to the office and Regional Manager.

Bonus Request Processing:

Review bonus requests for eligibility and accuracy, correcting any discrepancies in the submitted forms.

Inform managers of any issues with their bonus requests, clarifying eligibility criteria and submission deadlines.

Qualifications:

Degree in Business Administration, Real Estate, Property Management or a related field preferred.

Proven experience in an administrative coordination role, preferably within the property management or real estate industry.

Strong analytical skills with a keen attention to detail.

Exceptional communication and interpersonal skills, with the ability to interact effectively with both management and tenants.

Proficiency in property management software (Rent Manager) and Microsoft 365.

Ability to manage multiple tasks and deadlines in a fast-paced environment.

Bilingual in Spanish and English.

Job Type: Full-time

Salary: $27.00 - $30.00 per hour

Expected hours: 40 per week
