We are looking for a hard-working, responsible, and enthusiastic person to perform a variety of administrative, clerical, and programmatic tasks. In this role you will provide support to staff, lay leaders, and congregants. You will contribute integrally to the congregation’s success. This job works roughly 30-35 hours per week.
Role and Responsibilities
Clergy Administrative Support
Screen phone calls and schedule appointments for the clergy
Screen emails
Coordinate meetings for: Rabbi and Cantor
Coordinate all administrative materials for the clergy
Administrative support related to all types of correspondence, mail merge projects and other administrative letter writing
Point person and administrative support for specific events being operated by the Rabbi and Cantor
Transcribe Dictation
Assist with phones and front desk duties as assigned, including front desk receptionist
Interface with other aspects of Temple life such as: B’nai Mitzvah families; our auxiliary groups and other volunteer aspects of the synagogue
Communicate effectively and personably with congregant and make sure their needs are met
Work closely with the Rabbi, Cantor, and Executive Director on tasks deemed necessary by them
Manage donation tributes and thank you cards
Manage memorial plaques
Life Cycle
Administrative support and coordination for life cycle events for the Congregations families
Baby namings and Brises – including but not limited to keeping track of certificates, celebrations, services, etc.
B’nai Mitzvah - Coordination with families regarding B’nai Mitzvah appointments, celebration coordination and assisting with family education surrounding the B’nai Mitzvah
Wedding administrative support and coordination with clergy
Family facilitation with funerals, unveilings, annual yahrzeit, etc
Conversion Process
Admin tasks associated with tracking of conversion students for all the clergy
Coordination of appointments at conversion events
Weekly Sabbath duties and coordination
Maintain and create the weekly folders for all the various services
Maintain the weekly Mishaberach (healing) List
Maintain and publish the weekly Kaddish List for the clergy
Coordinate and create the gift bags for each B’nai Mitzvah student
Coordinate the honors schedules of each B’nai Mitzvah family
Coordinate with the volunteer coordinator for Shabbat greeters
High Holy days
Keep track of; assign and coordinate high holy day honors of the Congregation
Manage the annual Yizkor book campaign in conjunction with the Executive Director
Keep track of and publish the annual list of deaths for the Congregation apply
Qualifications and Educational Requirements
1) Bachelor’s degree preferred but not required
2) Experience working in a small office preferred, but not required
2) Experience with Jewish practice and ritual preferred, but not required.
