Executive Assistant to the CEO/President

Immediate opening for a top Executive Assistant to the CEO/President. This position provides administrative and office management support. The EA will assist in administrative and project-based tasks. In addition, the EA is a liaison to internal and external team members as well as vendors and will be in a highly visible and confidential position. The EA would need to be available from 8:30 a.m. - 5:00 p.m.

This position will be based in our Harbor City office and will work with, and report directly to the CEO/President.

Essential Functions:

Will be direct support to the CEO/President

Schedule and organize executive and business activities including but not limited to calendars, travel, internal and external meeting arrangements

Coordinate and track the status of projects with various departments for reporting purposes

Deal with high level external customers and provide excellent customer service

Prepare internal and external communication and documentation including emails and other correspondence

Answer phones and respond to requests for information

Establish and maintain internal file storage

Work independently and within a team on special and ongoing projects

Handle confidential information and explain policies when necessary

Perform other duties as requested and/or necessary

Requirements: 3-5 years of relevant experience and possess the following:

Proven experience in providing high level support as an EA

Experience in an office environment

Demonstrated experience managing calendars, coordinating meetings, and arranging travel

Demonstrated experience in customer service

Experience in financial services, banking or credit would be helpful but not required

Demonstrated excellent written and verbal communication skills

Available some evenings

Strong knowledge in Microsoft Suite, Outlook, (Word, PowerPoint, Excel, Publishing)

Ability to work with all levels of internal management and staff, as well as outside clients and vendors

Must have a reliable means of transportation and enjoy working in an office. This is not a remote opportunity
