QUALIFICATIONS & EXPERIENCES:
· High school degree required;
· Ability to learn and know contract goals and requirements to ensure information provided to customers are accurate and timely;
· Excellent customer services;
· Excellent oral, written and communication skills;
· Basic computer knowledge (Database tracking/Microsoft Word/Excel);
· Follows instructions and completes task on time;
· Ensure safekeep of confidential files of customer information;
· Able to work well with the customers, office staff, crew, independent consultants and the general public;
· Bilingual in Spanish, any Asian languages, Armenian and/or Russian is a plus.
POSITION RESPONSIBILITIES & DUTIES:
The applicant must be able to:
· Answers customers’ inquiries related to the department programs, provide information and directs calls;
· Enters any database information as needed in the In-House software Serv-Traq and/or other tracking/reporting mechanisms;
· Ability to learn and know program goals and requirements to ensure compliance of files that are serviced with crew paper works, timesheets, eligibility documents, ownership authorization and/or other required programmatic forms;
· Reviews/matches timesheets, billing documents, field returns, and other documents to a particular file must be completed on a daily basis and submitted to billers on a timely manner;
· Distributes correction of files and/or Field Returns to appropriate staff for re-scheduling on a timely manner;
· Data enters all information related to client file on In-House Database programs, ensure safe-keep of all files and back up all documents as needed;
· Receives and prepares files on a day-to-day to ensure next days work assignments for payroll and billers;
· Reviews 10% of monthly serviced homes under LIHEAP/DOE/BIL program and not limited to other contracts along with data entering errors/issues found on a spreadsheet for Crew Leads to make corrections;
· Maintains all files reported to be organized by program year, month and JOB ID to be labeled and store away in a safe and locked up in cabinets and warehouse;
· Inserts monthly billing inside correct program files and labels them by month that will be reported; ensure previously reported is up to date;
· Assist with covering receptionist area when needed
· Helps schedule LIHEAP/ECIP/DOE/BIL homes when needed
· Other clerical and administrative duties as assigned by Supervisor/Manager.
