Office Assistant – Tenant Relations / Bilingual English/Spanish Preferred
We are a busy property management company seeking a dedicated Office Assistant – Tenant Relations to join our team.
This position plays a key role in supporting our residents and property management operations. The ideal candidate will handle a high volume of phone calls and emails from tenants regarding maintenance requests, complaints, rent inquiries, and lease-related questions. Because many of our tenants are Spanish-speaking, bilingual English/Spanish skills are strongly preferred.
In addition to resident communications, the role will assist with a variety of administrative tasks to support daily office operations and ensure smooth property management workflows.
Key Responsibilities
Serve as the primary contact for resident inquiries by phone and email, responding promptly and professionally to maintenance requests, complaints, and general questions.
Track completion of rental increase postings, coordinate with Resident Managers, upload proof of service, and maintain supporting documentation.
Submit rental increase documentation to the government or housing agencies in accordance with city or regional requirements.
Maintain and update resident files, including insurance verification, lease data, and contact information.
Prepare and submit required reports to the city or housing authorities to ensure ongoing compliance.
Coordinate with Regional Managers, site teams, and other departments to resolve resident matters and maintain consistent communication.
Maintain confidentiality and professionalism in all communications and recordkeeping.
Support internal projects, correspondence, and general administrative duties as assigned.
Qualifications
1–2 years of experience in property management, tenant services, or administrative customer service.
Strong written and verbal communication skills with a customer-first mindset.
Excellent organizational skills with keen attention to detail and follow-through.
Proficiency in Microsoft Office (Excel, Word, Outlook).
Experience with property management software (Yardi, AppFolio, or similar) preferred.
Ability to prioritize multiple tasks in a fast-paced environment.
