Job Overview:

We are seeking a dedicated and detail-oriented Receptionist to join our busy Criminal/ Immigration law office. The ideal candidate will be the first point of contact for clients, providing a welcoming atmosphere while assisting with administrative tasks. This role requires excellent communication skills, professionalism, and a basic understanding of immigration processes. Prior experience in a legal or immigration office is preferred but not required.

Key Responsibilities:

Greet clients and visitors, ensuring a positive first impression.

Answer and direct incoming calls, taking detailed messages as necessary.

Manage office email accounts and distribute communication to appropriate staff.

Complete detailed intakes for new clients/ new cases using our office template, schedule client consultations and meetings.

Maintain the attorney’s calendar using Google Calendar, ensuring appointments and meetings are organized and updated (including court hearings – EOIR, Criminal, Civil).

Assist clients with inquiries regarding immigration case statuses or general questions, directing complex issues to attorneys or paralegals.

Maintain confidentiality of all client information and adhere to legal ethics.

File, scan, and organize legal documents, client files, and incoming mail accurately.

Assist in preparing and sending correspondence (letters, emails, forms) as needed.

Support attorneys and paralegals with administrative tasks, including photocopying, data entry, and maintaining client databases.

Maintain consistent and accurate communication with clients regarding case updates and information/ document requests.

Prepare and file USCIS Forms i.e. I-765, G-639, and I-821D.

Requirements:

High school diploma or equivalent.

Previous experience in a law office or immigration firm preferred.

Bilingual in English and Spanish (or another relevant language) is highly desirable.

Proficiency in using Google Calendar for scheduling appointments and managing attorney’s court hearings.

Excellent communication and customer service skills.

Strong organizational skills and attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Ability to work under pressure in a fast-paced environment.
