High-powered, well-established property management company in Los Angeles is seeking a talented and ambitious individual to join our team as PMA. Our management company owns properties and is seeking a candidate capable of assisting on our entire portfolio.
The PMA will assist with the day‐to‐day functions of the property management department. The focus of job is to support the Property Management team in all aspects of management pertaining to the properties. The PMA also functions as the liaison between the tenants and the Property Manager for maintenance and tenant issues at commercial and residential properties.
Job Responsibilities include, but are not limited to:
Working with PM Software- Appfolio
Assisting with Delinquent tenants and in Process Evictions
Writing work orders for Maintenance department based on information from tenants, technicians or based on information gathered from site visits
Drafting Memos and/or making phone calls to Tenants related to lease issues and
preventative maintenance scheduling, delinquencies and evictions
Issuing keys to technicians/vendors, keeping logs of who has keys and ensuring return of
said keys
Perform all necessary functions to facilitate Tenant “Move In” and “Move Out”
Assist with "marketing" vacant units and updating market and rental rates/deposits
Drafting leases, conducting background checks, submit approvals and assist with MI tasks until executed
Working from different offices
Procedures including:
Informing the tenant of the lease obligations and or renewals, notifying them as their expiration date approaches & informing them of their obligations upon move out
Performing walk‐outs of units and writing work orders related to turnovers; being present and Lockouts to ensure tenants have left and locks are replaced.
Processing Security deposit returns
Leasing/Showing units as needed
Understanding Landlord and Tenant laws governed by Los Angeles County, City, LAHD, LAFD, Department of Building and Safety and Health Department
Maintain logs related to:
Essential Lead Maintenance (EMP)
Project Lists for individual properties
Unit Turnover List
Obtaining Bids – Landscaping, Trash, Appliances & maintenance/repairs
Perform annual and all inspections and replenish inventory where necessary
Other duties include office support and on‐call emergency response
Being present at Health, City, Building & Safety, REAP and Section 8 Inspections and ensuring property has complied with all necessary requests in relation to any and all departments to ensure good standing of said property as well as representing the company in Court for eviction cases.
Furnish daily and weekly reports as necessary.
Qualifications:
Must have property management experience.
Must be able to work under pressure and fast deadlines.
Must have a Driver's License and adequate transportation which includes valid Auto Insurance
Must have a HS degree and some college coursework completed
The ideal candidate will be proficient in the complete Microsoft Office Suite with an emphasis on Excel, Word and Outlook.
The candidate must have experience associated with administrative duties and possess strong attention to detail with the ability to prioritize and juggle multiple job functions.
A strong background in customer service, some basic knowledge of building structures and experience in coordinating and scheduling are essential.
Must be a team player and understand the importance of cohesiveness
