Job Description: Administrative Specialist – Inventory, Shipping, and Supplies

Location: Rosecrans Ave (near the 405), onsite with a flexible schedule

Role Overview

We are seeking a well-organized and detail-oriented Administrative Specialist to manage inventory, coordinate supplies, and oversee international shipping and receiving. This role is essential to ensuring smooth operational workflows and requires strong multitasking and communication skills.

Key Responsibilities

Inventory Management: Track and maintain inventory levels for parts, components, and office supplies. Perform regular inventory audits to ensure accuracy. Organize and manage inventory storage for easy access and retrieval.

Supplies Coordination: Order and replenish office and operational supplies as needed. Liaise with vendors to ensure timely deliveries and manage purchase orders.

International Shipping & Receiving: Prepare and process documentation for international shipments, including customs forms and invoices. Coordinate with carriers to ensure timely and cost-effective deliveries. Receive, inspect, and document incoming shipments for quality and accuracy.

Administrative Support: Maintain clear and accurate records of all inventory, supplies, and shipments. Communicate with team members to ensure operational needs are met. Support other administrative tasks as required.

Qualifications

Experience: Minimum 3 years in an administrative, logistics, or operations management role.

Skills: Strong organizational and multitasking abilities. Familiarity with inventory management systems (preferred). Experience with international shipping processes and documentation.

Attention to Detail: Meticulous approach to managing records and tracking inventory.

Communication: Excellent written and verbal communication skills.

Proactive: Able to anticipate needs and solve problems independently.

Education: High school diploma required; additional certifications in logistics or administration are a plus.
