Position Overview
We are seeking a detail-oriented and proactive Project Coordinator to support our project management and field teams in delivering high-quality residential and/or commercial construction projects. The ideal candidate will have strong organizational, communication, and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
Project Support & Coordination
Assist the Project Manager with day-to-day project management tasks, including schedules, budgets, and documentation.
Track project milestones, deliverables, and deadlines to ensure on-time execution.
Prepare and distribute project meeting agendas, notes, and updates to internal teams and stakeholders.
Documentation & Compliance
Maintain organized project files, contracts, RFIs, submittals, and change orders.
Ensure all permits, insurance certificates, and compliance documents are up-to-date and properly filed.
Support preparation of bid proposals and coordinate subcontractor scopes of work.
Communication & Client Relations
Act as a liaison between the office, field teams, subcontractors, vendors, and clients.
Provide timely updates on project status, including schedule changes, material delays, and field conditions.
Support client satisfaction by ensuring consistent communication and documentation.
Scheduling & Procurement
Coordinate material orders and deliveries with suppliers to align with project timelines.
Support subcontractor scheduling and verify their readiness for scheduled tasks.
Track and reconcile purchase orders and invoices in collaboration with accounting.
Reporting & Tracking
Prepare regular progress reports and updates for internal meetings and client check-ins.
Monitor project costs and assist with budget tracking and variance reporting.
Identify risks or delays and escalate issues to the Project Manager for resolution.
Qualifications
Education: Associate’s or Bachelor’s degree in Construction Management, Business Administration, or a related field preferred (or equivalent experience).
Experience: 2+ years of experience in construction administration, project coordination, or related roles (residential or commercial).
Skills:
o Strong organizational and multitasking abilities.
o Excellent written and verbal communication skills.
o Proficiency in project management software (Procore, Buildertrend, Monday.com, or similar).
o Competency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
o Familiarity with CSI codes and basic construction terminology is a plus.
