Ecology Action is a 501(c)(3) non-profit organization focused on sustainable small-scale agriculture, established in 1972, and managed by Executive Director Dr. John Jeavons for over 53 years.
We conduct field research and produce publications and teaching resources designed to train farmer-leaders on a global scale, and to help individuals empower themselves to grow all their own food sustainably. We are seeking a full-time Office Manager/Executive Assistant to join the team at our long-term Biointensive research and demonstration site near Willits, CA.

Duties & Responsibilities
1) Keep the office running smoothly. Includes answering email and telephone, filing (print and digital documents), updating and creating office procedures and protocols, and maintaining the office manuals. Assist with HR tasks as necessary. Backup data from multiple office computers each month. Troubleshooting IT issues and printer challenges.
2) Coordinate tours, workshops, and internship programs. Review applications, correspond with participants, maintain event schedules, schedule printing and delivery of informational material, set up Zoom sessions, maintain and update participant database.
3) Manage onsite library. Ongoing inventory, cataloging and classification of publications, database maintenance. Research scientific articles related to sustainable organic agriculture. Ongoing digitization of Ecology Action publications (scanning, document upload, QA). Special data projects as needed. Publication order fulfillment as needed.
4) Support Ecology Action Director John Jeavons with executive administrative tasks including computer, email, Zoom calls, scheduling, filing, coordinating events and meetings, and assisting with ongoing fundraising and special tasks as needed.
Desired Qualifications
Experience and Education: You have a strong background in office administration (at least 3 years practical experience, college degree or professional certificate preferred). You are orderly, have excellent attention to detail, are good at keeping track of data, and not afraid to take on special projects and build your skill set. An interest in sustainable agriculture is a plus!
The following abilities and qualities are essential to this position:
+ Very comfortable with computers, filing, data entry, database maintenance, scheduling, and communicating with the public in a professional capacity (telephone, email, and print correspondence).
+ Experienced and very comfortable working with Microsoft Office Suite (especially Excel and Word), Google Workspace, DropBox, Zoom, and data entry. Knowledge of data management systems a plus. Knowledge of content management a plus.
Good interpersonal skills: You are self-motivated, solutions-oriented, and a team player.
+ Flexibility, patience, a sense of humor, and respect and understanding for others, especially people from other cultures and countries. Cross-cultural experience a plus.
+ Strong communication and organizational skills: You speak fluent English. You know how to communicate clearly and professionally with colleagues and with the public. If you have a second language, particularly Spanish or French, that’s great!
Salary and Benefits
$20/hour for 40 hours per week, with paid overtime possible during the busy season. Increased pay rate for special projects of up to $35 per hour is possible. These projects vary, and generally take from a day up to a couple of weeks to complete depending on complexity.
