Owens Design Consultants, Inc. has been around since 1995 is looking for a qualified Bookkeeper/Office Manager to join our growing team. As an Architectural Engineering firm, we specialize in engineering, architecture, and construction services. “Design engineered for the built environment” is our motto. We believe that creative ideas can inspire positive change. We do things a bit differently out here in the open country. We are not only a design firm; we also have our own research studio where we can build prototypes of our designs or just play for art’s sake. Besides our design office, we have the facilities to work in metal, wood, ceramics, fabrics and leather, and gems. We also have a print shop just a few doors down. This position will be integral to the success of our projects and will participate in every aspect of the design process including client interface, procurement, and estimation.
BOOKKEEPER
Position Summary:
The Bookkeeper will manage day-to-day accounting and financial tasks for the firm, ensuring that all financial transactions are recorded accurately and in a timely manner. This position will involve working closely with project managers and other departments to ensure proper billing, project cost tracking, and compliance with financial standards. The Bookkeeper will use BQE Core to manage financial data, prepare reports, and track project-related costs and revenues.
Key Responsibilities:
General Accounting:
o Maintain accurate financial records, including accounts payable (AP), accounts receivable (AR), and general ledger.
o Post journal entries, reconcile bank statements, and ensure all transactions are posted timely.
o Assist in preparing financial statements and monthly reports, including profit and loss, balance sheet, and cash flow statements.
BQE Core Management:
o Utilize BQE Core software for day-to-day bookkeeping tasks such as invoicing, project cost tracking, and client billing.
o Process client invoices and payments, ensuring accurate job costing and timely billing according to project milestones.
o Generate and review project financial reports within BQE Core to support project managers in tracking expenses, revenue, and profitability.
Project and Time Tracking:
o Track project budgets, labor costs, and vendor expenses using BQE Core to ensure accurate billing and cost reporting.
o Collaborate with project managers to ensure accurate allocation of time and costs to respective projects.
o Reconcile project billing with time tracking and ensure that all billable hours and expenses are captured.
Payroll Support:
o Assist with payroll processing by verifying hours worked, ensuring that employee time data is accurately captured in BQE Core for billing and payroll purposes.
Tax and Compliance:
o Assist in preparing documentation for tax filings and audits, ensuring all financial transactions comply with applicable regulations.
o Maintain an up-to-date record of financial transactions for tax reporting and compliance purposes.
Administrative Support:
o Provide administrative support to the finance team, including preparing reports, handling vendor inquiries, and assisting with audits.
o Perform other duties as assigned by the Finance Manager or leadership team.
Qualifications:
Experience:
o Minimum of 2 years of bookkeeping experience in an architectural, engineering, or professional services environment.
o Hands-on experience with BQE Core software is highly preferred. Familiarity with similar accounting software will also be considered. Training available.
Skills:
o Strong understanding of accounting principles and procedures.
o Proficient in Microsoft Office Suite (Excel, Word, etc.), and experience with financial software tools.
o Excellent organizational and time-management skills with the ability to multitask and prioritize tasks.
o Strong attention to detail, with the ability to identify discrepancies and resolve issues efficiently.
o Strong verbal and written communication skills, with the ability to work effectively with cross-functional teams.
Education:
o Associate’s degree in Accounting, Finance, or a related field. Bachelor’s degree preferred.
Other Requirements:
o Ability to work independently and as part of a team.
o Prior experience in the architectural or engineering industry is a plus.
