Job Title: Fulfillment Coordinator (Admin) Reports To: Production Supervisor Job Summary: The Fulfillment Coordinator plays a pivotal role in managing the end-to-end order fulfillment process to ensure timely and accurate delivery to customers. This position entails overseeing the seamless release of orders while adhering to carrier pickup schedules and maintaining an efficient workflow. Key responsibilities include: - Preparing kits and printing shipping labels to streamline the fulfillment process. - Monitoring fulfillment requests and proactively resolving issues related to order accuracy, inventory levels, and packing. - Collaborating closely with the Production Supervisor and cross-functional teams to facilitate smooth daily operations. - Ensuring all relevant reports and documentation are meticulously maintained and updated. The ideal candidate will demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

Key Responsibilities:

● Beginning-of-Day:

○ Run all necessary schedules at the beginning of each day to ensure the replenishment teams have readily available tasks.

● Order Fulfillment Management:

○ Oversee the timely release of orders, ensuring compliance with the carrier pickup schedule.

○ Proactively communicate with the Production Supervisor regarding any potential delays or modifications that may affect standard packing times.

● Issue Resolution & Communication:

○ Monitor Slack to ensure all fulfillment requests and issues are addressed promptly.

○ Send out an "SOS" for assistance when issues arise, such as out-of-stock (OOS) items, hold orders, packing errors, order splits, or carryovers.

○ Address any challenges related to replenishment and generate manual replenishments as needed to ensure accurate stock levels.

● Reporting & Data Management:

○ Ensure the accuracy and currency of data across all reporting spreadsheets.

○ Update key documents on a daily basis and promptly notify the Inventory Specialist and Project Manager of any incomplete entries prior to Friday: West Coast Production Report"

● End-of-Day Resolution:

○ Resolve all outstanding items or issues at the end of each day to ensure a smooth transition to the next shift.

● Training & Development:

○ Participate in on-the-floor training sessions and actively contribute to improving operational efficiency and team performance.

● Required Skills & Qualifications:

● Strong organizational skills and attention to detail.

● Excellent communication skills for coordinating with team members and cross-functional departments. ● Computer Competent

● Proficient in Microsoft Office

● Proficient in using communication tools (Ex: Slack, Microsoft Teams)

● Ability to manage multiple tasks simultaneously while maintaining accuracy and quality.

● Knowledge of fulfillment and inventory processes.

● Experience in handling order issues such as out-of-stock items, packing errors, and order discrepancies.

● Sunday - Thursday, 40hrs per week (Start and End times vary depending on production needs)

● Bilingual in English and Spanish(Ability to read and speak in English is a must)

Work Environment:

● Ability to work in a fast-paced environment and handle time-sensitive tasks. Physical Requirements:

● Ability to stand for extended periods of time.

● Ability to lift or move boxes and supplies as needed 25 lbs.
