Fast-paced, professional and positive accounting firm is looking for an office administrator to manage the front office. This is a part-time position of 30 hours a week.
Qualifications:
Strong customer service skills
3 to 5 years of administrative experience
Aptitude to manage in a diverse fast moving environment
Impeccable organizational skills
Excellent customer service and relationship building skills
Good verbal and written communications skills
Knowledge of Microsoft Office (Word, Excel, Outlook) and Quickbooks
Decision making skills and common sense
Ability to manage multiple projects simultaneously
Upbeat, positive attitude and strong work ethic
The primary responsibilities in this position are:
Organizing and coordinating office operations.
Answering multi-line telephone system, taking accurate messages and screening and directing phone calls in a professional manner.
Process incoming and outgoing mail on a daily basis.
Generate and (emails) mail client invoices on a monthly basis.
Compose, prepare and proofread correspondence, office memos and reports.
Performing bookkeeping functions, including accounts payable and accounts receivable.
Create invoices, process credit cards and check payments, bank deposits.
Provide administrative support for the professional staff.
Coordinating internal meetings and events.
Building and maintaining strong relationships with clients and vendors.
Tax return processing, including assembly and filing. E-files tax returns. Monitors rejected e-filings for corrections and re-submission.
