SCOPE:

• Performs accounting functions, working with finance, US operations, international operations (especially South America) and human resources.

• Daily use of QuickBooks

RESPONSIBILITIES:

• Manages A/P in timely manner: Has project, program, and department managers approve bills & determine where they get charged to before payment by check or wire

• Processes employee reimbursements, checking receipts against claims and policy

• Enters and reconciles all credit card expenses.

• Researches all questionable charges and, if necessary, works with vendor to resolve problem charges.

• Prepares weekly cash flow report for finance approval. Maintains cash flow, budget and funding tables accurately & enters actuals at the close of reconciliation.

• Manages accounting for medical, dental, life insurance, and the simple IRA plan for employees

• Backs up finance manager A/R & deposits work.

• Based on input from HR, prepares and process monthly payroll, year-end preparation, PTO calculations. Inputs data from time sheets to computerized payroll system and supports HR in handling multi-state and multinational tax and payroll issues. Ensures 1099 contractors meet all legal requirements and required 1099 documentation is in the file and is up to date.

• Closes books at year end, processes year end withholding statements, prepares P&L, balance sheet statements for the finance committee.

• Prepares all documents for annual audits including grant audits, policy review, and policy refinement.

• Backs up HR on employee benefit program management: medical, dental, life insurance, PTO, and IRA plans, while overseeing accounting accuracy for same.

• Works in HQ office during core hours: 9 to 5 M-F, handling inquiries from staff re accounting processes. Work-related domestic or international travel expected roughtly 1x/year.

• Maintains inventory of office supplies, supports facilities work

• Performs other duties as assigned.

COMPENSATION: This is an exempt position with an excellent benefits package including medical insurance, dental insurance, vision insurance, life insurance, sick time, and vacation.

REQUIREMENTS:

• A college degree and at least 1 year of QuickBooks experience is required.

• Some Spanish ability helpful, fluency not required

• Nonprofit experience &/or contracts and grants experience helpful. Positive attitude is a plus.

• This position requires attention to detail, excellent accounting and communication skills, the ability to multi-task, set priorities, set limits, function independently when required, and a knowledge of QuickBooks, Excel, & email. Requires ability to solve problems with limited supervision, interface successfully with a variety of personalities and ability to prioritize and meet deadlines.

• Drivers license and ability to lift 25 lbs. and perform work at a desk for a significant proportion of the day required. We have a dog-friendly office somewhat near the beach, so ability to be in the presence of dogs required.

• Background check required
