Job Title: Member Services Associate

Reports to: Patron & Member Engagement Manager

Job Type: Part-Time non-exempt hourly; evenings, weekends and holidays as needed

Hours: Expected to work 20 to 25 hours per week

Schedule: Typically, Monday through Friday from 11:30 AM to 4:00 PM. Please note that the schedule is subject to change. Additional or alternative hours may be necessary to accommodate the event calendar and organizational requirements.

Salary Range: $20.80/hr - $31.20/hr

ORGANIZATION OVERVIEW

Sunset Cultural Center (SCC) is a nonprofit organization founded in 2003 to manage the historic Sunset Center in Carmel-by-the-Sea. What began as a public school in 1926 has been transformed into a state- of-the-art performing arts center. Under the mantle of Sunset Presents, we bring a wide range of world- class performances and live events. We pride ourselves on programming a lineup with diversity, sophistication, and star power. Sunset Center is home to resident companies Carmel Bach Festival, Carmel Music Society, Chamber Music Monterey Bay, and Monterey Symphony. SCC also programs no- cost community outreach programs and administers an acclaimed Arts Education Program.

JOB DESCRIPTION: The Member Services Associate, an essential administrative role within the Patron & Member Services team, is responsible for managing the member phone line and email, processing donations, selling tickets, and maintaining accurate member records. This role requires strong organizational skills and meticulous attention to detail, as it also involves coordinating with the Development team to liaise with members and donors, assisting with member renewals, benefit fulfillment, and participating in donor/member events. Additionally, the associate handles box office support during peak times and ensures timely and accurate mailing of correspondence, including thank-you letters, membership renewals, and event invitations, to uphold positive relationships with our supporters.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Provide administrative support, such as writing and editing emails, and preparing communications in collaboration with the Patron & Member Services Team

Provide excellent customer service to all patrons, campus visitors, partners, donors, and community members.

Be knowledgeable about and able to provide detailed information on performances, events, Sunset Center Campus, and Carmel to visitors

Ensure a tidy administrative area to provide a welcoming space for patrons and visitors

Maintain comprehensive, confidential and accurate patron and donor files in Tessitura, including timely entry of donor activities and interactions following special events

Keep storage room stocked and organized, and receive and distribute delivered office supplies

Receive, open and sort incoming mail and deliveries, and manage outgoing mail

Answer phones and direct calls to appropriate staff

Conduct accurate ticket sale and donation transactions received by phone, via mail, in person or through supporting patrons with online transactions

Successfully complete PCI compliance training, as well as other trainings as assigned

Assist in maintaining database hygiene by ensuring accuracy of account data, merging accounts and responding to patron requests and updates while completing regular data entry tasks

Efficiently and effectively solve patron issues by following established procedures and thinking quickly, with an emphasis on efficient customer service and accuracy

Assist in event set up and breakdown, including, but not limited to, food prep, cleaning, serving alcohol, and other related tasks

Generate lists/reports from database as requested.

Other duties as assigned

SKILLS AND QUALIFICATIONS:

Tessitura or other CRM experience desired - we will train the right person

Strong written and oral communication skills, with an emphasis on customer service

Comfort interacting with a diverse population of patrons, members and donors

Must be able to remain calm in stressful situations

Ability to treat confidential information with appropriate discretion

Excellent organizational skills and attention to detail

Ability to handle several tasks and priorities simultaneously and with frequent interruptions

Proficiency with Microsoft Office suite (Word, Teams, Excel, Outlook)

Must be comfortable with technology and learning new programs

Ability to work effectively with minimal supervision

Must be comfortable collaborating with coworkers

Past experience with cash handling desired

Bilingual Spanish speaking is preferred

Previous experience in ticket sales, fundraising or performing art centers a plus

This position will require regular sitting, standing, listening, talking, reaching, walking, and lifting of supplies (up to 25 lbs.) as needed. WORK ENVIRONMENT: Sunset Cultural Center staff operate in a theater and administrative office. The work environment for this position may change based on the needs of the business. Regular expectations for evening and weekend hours are required.

Forty (40) hours of paid sick leave per fiscal year
