We are looking for a receptionist to manage customer service, communication, and scheduling for our firm. The receptionists serve as the front line of communication for all office operations. From the moment a client first calls the office, the receptionist focuses on creating a positive service experience for all clients.
Additionally, the receptionist will be training on electronic filing with the Court and will oversee that documents reach the court (either via mail or digitally). The position entails directly assisting the attorneys by scheduling meetings, fielding all incoming calls, and managing front-office operations.
A receptionist must be hospitable and possess a serious understanding of confidentiality and data protection. The ideal candidate will be equipped with phenomenal interpersonal skills, computer knowledge, and organization habits. The goal is to begin and maintain positive relationships with clients as well as to effectively organize the schedules of the attorneys.
Responsibilities
This position is full-time (M-F, 8am-5pm) and in-person at our office in Morgan Hill
Answering the incoming phone calls for the firm and determining the right plan of action for every caller
Checking to see if there is a conflict of interest with each prospective client
Scheduling calls and appointments for attorneys and clients and managing the firm’s calendar
Monitor office inventory and report shortages
Opening new physical and electronic files for clients we take on
Follow policies and confidentiality dictations to safeguard data and information
Qualifications
Interpersonal skills is the number one qualification. This means being able to hold good and efficient conversation
Knowledge of Word, Excel, Google Calendar, and Google Docs
Very good knowledge of office equipment such as photocopier, scanner etc.
Perfect or near-perfect command of English, both oral and written
Dependable with a respect to confidentiality and policies
Excellent organizational skills
Great attention to detail in addition to an ability to multi-task
