Our Office Manger/Front Desk person is going on vacation from January 6th-January 10th and we will need a temporary person through those dates. Additionally, we will need to have you come in for several hours training with the Office Manager prior to her vacation (the week before), ideally 1-2 hours over 2-3 days, so that you feel confident at the desk (for a total of 4 hours or so).

The hours are:

Monday 8:15-5:15

Tuesday not at all

Wednesday 8:15-5:15

Thursday 8:15-5:15

Friday 8:15-5:15

We take lunch from 12:15-1:15.

The person we are looking for will have experience working in a busy front desk situation (a health care practice, or possibly other situation). She or he will also need to be able to commit to those dates (i.e. not a chance that you would find a permanent position and need to leave mid-way in the agreement).

We happen to be an office of female body workers (chiropractor, massage therapist, and two cranio-sacral therapists). We do honor HIPAA privacy rules by law, and need a person who honors the limitations of communication within those rules, and we can tell you what those rules are.

The temp position entails:

1. Answering the phones with the ability to place people on hold mid-conversation, while handling other calls and other guests at the front desk

2. Taking payments including credit card transactions, and for sales of items as well as therapy sessions

3. Using our computerized scheduling system. (It is a basic one that is intended for massage therapy and yoga studio offices)

4. Managing the traffic at the front desk (greeting people and directing them as to what to do: wait, or go into a room)

5. Following through on all threads (returning phone calls, following up on phone messages, getting back to requests from patients that the doctor may need to field, etc.) which is a very important part of the job for our patients to feel looked after

6. General tidying so that the reception area looks nice (for example after children have left, or if paper cups are left around)

It's a pretty basic job for the temporary person, albeit a busy one. There will be other things asked of the person, such as ticking off yesterday's credit card transactions from the credit card machine report against yesterdays collections.

You will not need to enter any collections in the payment books. The doctor will do that at the end of the day, thus checking your work, and doing the stuff where there might be an error.

Our office has systems in place so that errors are seldom, such as that all messages no matter of what kind get written in the duplicate message notation book. The doctor is available to answer questions via a simple system of putting notes at her workstation so that your questions can be answered as the day goes. We all work very closely together and are a team who help each other out.

We are a scent free and electronic (wifi or cell) free office. If you need to check your phone periodically, that is okay, but it needs to be off otherwise, because the doctor is electro-magnetically sensitive. Our computer is wired.
