Description We are seeking an Administrative Assistant to join our team in the non-profit sector in Newport Beach, California. In this role, you will be responsible for managing front desk operations, coordinating administrative tasks, and facilitating knowledge transfer to new team members. This role offers a contract to permanent employment opportunity.Responsibilities: Facilitate a smooth front desk operation, serving as the first point of contact for visitors and staff Coordinate administrative tasks to ensure efficient office operations Work closely with the current team members to absorb their knowledge and expertise Train new Executive Assistants on their roles and responsibilities Demonstrate the ability to work effectively in a fast-paced environment, juggling multiple tasks and deadlines Utilize high-level proficiency in Microsoft Office, including Outlook, Excel, and Teams, along with Zoom, SharePoint, Salesforce, etc. Exhibit strong communication skills, both oral and written, with an emphasis on detail and accuracy Maintain a detail oriented and positive attitude, contributing to a team-oriented environment Exhibit unwavering integrity, handling highly confidential information with discretion Show adaptability and flexibility, responding to changing needs and information with ease Take a proactive approach to work, identifying potential challenges and proposing solutions Exhibit strong customer service skills, engaging effectively with both internal and external stakeholders Document workflows and manage projects, demonstrating strong communication skills Identify bottlenecks and areas of improvement, proposing creative solutions Exhibit excellent interpersonal skills, maintaining a high degree of detail oriented maturity and a great sense of humor Foster cross-team collaboration, contributing to a cohesive work environment. Requirements Minimum of 2 years of experience in an administrative role Proficiency in Administrative Assistance Strong organizational and planning skills Excellent verbal and written communication abilities Proficiency in Office Suite and other relevant software Knowledge of office management systems and procedures Ability to multitask and prioritize daily workload High level of discretion and confidentiality Experience in a non-profit environment is a plus High school degree; additional qualification as an Administrative assistant or Secretary will be a plus Demonstrated ability to work collaboratively in a team environment Strong attention to detail and problem-solving skills Ability to work under pressure and meet deadlines.
