Job Description:
We are seeking an experienced and organized Office Manager to join our growing Certified Public Accounting (CPA) firm. The ideal candidate will manage daily operations, coordinate administrative duties, and ensure the office runs smoothly. The Office Manager will also support the partners and staff by handling client relations, bookkeeping, and general administrative tasks.
Responsibilities:
Oversee and manage day-to-day office operations, including scheduling, supplies, and office maintenance.
Serve as the first point of contact for clients, managing communications via phone, email, and in-person.
Coordinate and schedule meetings, conferences, and appointments for the firm’s partners and staff.
Handle accounts receivable and payable, including client billing and vendor payments.
Manage HR-related tasks, including payroll, time tracking, and employee benefits coordination.
Ensure compliance with firm policies, procedures, and local regulations.
Assist in the preparation of financial reports, tax documentation, and other CPA-related tasks as needed.
Oversee the firm’s filing system, both digital and physical, ensuring all records are organized and up-to-date.
Order and maintain office supplies, equipment, and technology, troubleshooting issues as they arise.
Manage confidential information and ensure client data security.
Qualifications:
Proven experience as an Office Manager or similar administrative role, preferably in a CPA firm or financial services environment.
Strong organizational and multitasking skills with attention to detail.
Familiarity with bookkeeping, accounts payable/receivable, and payroll processes.
Proficiency in office software (e.g., Microsoft Office, QuickBooks, accounting/tax software).
Excellent communication and interpersonal skills.
Ability to manage and prioritize multiple tasks in a fast-paced environment.
Knowledge of accounting principles and tax regulations is a plus.
Education and Experience:
Bachelor’s degree in Business Administration, Accounting, or related field preferred.
Minimum of 3 years of office management or administrative experience, ideally in a CPA or professional services firm.
