Position Overview:

We are seeking a highly motivated and organized Front Desk/Administrative Assistant to join our dynamic team. In this role, you will be the first point of contact for clients and visitors, responsible for ensuring a professional and welcoming experience. Additionally, you will provide vital administrative support to our firm's professionals.

Key Responsibilities:

Front Desk Management:

Greet and welcome clients, visitors, and staff in a courteous and professional manner.

Answer and direct incoming phone calls and emails, providing information or routing inquiries to the appropriate personnel.

Maintain a tidy and organized reception area.

Administrative Support:

Assist with scheduling appointments, meetings, and conference room reservations.

Manage and maintain office supplies, inventory, and equipment.

Handle incoming and outgoing mail and packages.

Client Interaction:

Facilitate the intake of client documents and ensure their secure handling.

Coordinate client meetings and assist in preparing meeting materials.

Foster positive client relationships through excellent communication and customer service.

Data Entry and Record Keeping:

Assist with data entry tasks, ensuring accuracy and attention to detail.

Maintain and organize electronic and physical filing systems.

General Office Support:

Collaborate with team members to support various administrative and operational needs.

Maintain confidentiality of sensitive information.

Qualifications:

High school diploma or equivalent; additional education or relevant certifications is a plus.

Prior experience in a front desk or administrative role is preferred.

Strong interpersonal and communication skills.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Excellent organizational and time management abilities.

Attention to detail and a commitment to maintaining a professional appearance and demeanor.

Discretion and the ability to handle confidential information with care.
