As a Front Office staff member, you will be the first point of contact for our patients, providing exceptional customer service and ensuring the smooth flow of daily operations. The ideal candidate will have excellent computer, phone, and communication skills, a friendly demeanor, and the ability to handle various front office responsibilities in a fast-paced healthcare environment.

Responsibilities:

Patient Check-In and Check-Out:

Greet patients warmly as they arrive and assist with the check-in process.

For SJC office: offer coffee drink, and maintain, clean device.

Verify patient information, insurance details, and collect necessary co-payments.

Coordinate patient check-out, schedule follow-up appointments, and provide relevant information.

Appointment Scheduling:

Manage the appointment schedule efficiently to optimize patient flow and most effective use of providers.

Schedule new and follow-up appointments based on patient needs and providers individual scheduling preferences.

Follow blocks and guides when scheduling.

Confirm upcoming appointments and handle appointment rescheduling when necessary.

Confirm web based made appointments

Telephone, Email and text SMS Communication:

Answer phone calls and respond to patient inquiries in a professional and courteous manner.

Handle patient emails and sms messages addressing questions, and forwarding messages to the appropriate staff members.

Payments and inventory:

Collect patient payments and post appropriately in ehr software

Collect credit card information from patients and store safely

Manage mid and end of day cash reconciliation

Input and deduct inventory as needed

Help with maintaining inventory counts, re- stocking shelves, organizing inventory.

Insurance Verification:

Verify insurance coverage and eligibility for patients.

Communicate insurance information to patients, including co-pays and deductible details.

Patient Records Management:

Ensure accurate and up-to-date patient records using electronic health records (EHR) systems.

Ensure patients are informed about policies for canceling, collecting balances, credit cards on file

Assist in the maintenance of patient files, including scanning and filing documents.

Follow HIPAA rules

Waiting Room/store Management:

Maintain a clean and organized waiting area and store.

For SJC, properly maintain coffee bar, help with refilling supplies, cleaning machine and making drinks.

Ensure timely and efficient patient flow to minimize wait times, by checking people in.

Package and ship sold items as necessary

Patient Education and Communication:

Provide patients with necessary information regarding procedures, appointments, and follow-up care.

Educate patients on office policies, forms, and any pre-appointment requirements.

Demonstrate working knowledge of treatments, products and procedures for the purposes of selling

Help patients entering and exiting the store

Qualifications:

High school diploma or equivalent.

Previous experience in a medical front office or customer service role is preferred.

Familiarity with medical terminology and electronic health records (EHR) systems.

Strong communication and interpersonal skills.

Excellent organizational and multitasking abilities.

Proficiency in using office equipment and computer software.

Location-Specific Requirements:

Knowledge of local healthcare regulations and requirements in Newport Beach, California.

Familiarity with the local healthcare market and community.
