We are a well-established construction company with a large and solid client base. As we continue to grow, we now need a full-time Administrative/Office Assistant with accounting/bookkeeping experience to support our Office Manager in a small, fun and relaxed office setting. This is a long-term, permanent position with opportunities for advancement. The successful candidate will be cross trained in all office tasks to provide strong support and stability as we continue to expand.
Essential Duties & Tasks include, but not limited to:
Answer phones, route calls, take messages.
Receive, sort, distribute mail/packages/boxes.
Maintain document filing, both digitally and manually.
Data entry into accounting and other software.
Track and maintain employee certifications and renewals.
Make travel arrangements.
Perform background checks and request various certifications from vendors.
Set up and monitor employee drug screening and physicals.
Manage employee credit card receipts, reconciliation and data entry.
Set up new projects, field files, digital files, health and safety documentation.
Occasionally lift filing boxes, receive packages/boxes.
Payroll preparation, occasional processing and employee HR onboarding (Prevailing wage experience is a plus).
Assist in AP and AR functions.
Additional other related clerical/accounting duties to meet the ongoing needs of the company.
Knowledge, Skills and Abilities:
Proficiency in Microsoft Office, Google products, Acrobat, and general data entry.
Experience with accounting software is a plus.
Strong attention to detail with the ability to multitask and prioritize.
Comfortable interacting with a range of personalities, including field staff.
High level of confidentiality and professionalism when handling sensitive matters.
