Clerical office-Data Entry Assistant

We are looking for a detailed-oriented individual to join our team as a clerical assistant.

The responsibilities of the clerical assistant include answering phone calls, emails and other communications and directing them to the appropiate person. They also mantain and update records, handle basic bookkeping some managing on ordering office supplies.

To be a succesful clerical assistant, you should have excellent organizational and administrative skills. Ultimately, be proficient in computer programs such as QuickBooks Online, Microsoft Office, Adobe, Excel and able to use various office equiment such as printers, scanners. Perform data entry, prepare and distribute documents, and helping with organizing events and meetings. Should have excellent communication skills, the ability to multitask and work well under pressure. Must be detail-oriented, have good time management skills, and be able to work independently or as a part of a team.

Job Responsability-

-Answering phones and responding to emails.

-Collecting payment for current and aging invoices.

-Filing and organizing office documents.

-Typing correspondence and and reports

-Scheduling appointments and meetings

-Mantaining office inventory and ordering supplies when needed.

-Handling incoming and outgoing mail and email.

-Operating office equipment such as printers and scanners.

-Assisting with all accounting tast such as invoicing and billing.

-Sending estimates; following up on estimates

-Updating and maintaining databases and records

-Providing general administrative support to the team.

Qualifications-

-High school diploma or GED.

-Proficient in QuickBooks Online (IMPORTANT QUALIFICATION)

-A minimum of 1-2 year office experience may be preferred.

-Competency with computers, physical and digital filing systems and typing.

-Strong written and verbal communication, interpersonal, and math skills.

-Good problem solving skills.

-Professionalism, discretion, and the ability to work with minimal supervision.

-Able to lift 50-60 lbs.

-Some knowledge of commercial/ residential glass industry preferred.

-Bilingual-MUST speak spanish and understand Spanish.

Job Type: Full time

Salary: will be discussed during interview.

Schedule: Monday - Friday (40 hours per week)

QuickBooks Online: 1 year ( REQUIRED)

Language: Spanish and english required.
