Legal Receptionist Job Description / Paralegals Encouraged To Apply

Under the direction of middle and senior management, the Legal Receptionist will be required to welcome visitors and answer calls. As a Legal Receptionist, your duties include scheduling appointments, handling inquiries, and managing mail and deliveries. You may also be required to assist with alpha and numeric filing of various documents.

In order to ensure success as a Legal Receptionist, you should exhibit excellent communication skills, competency in general office administration, and a strong willingness and drive to take initiative. An outstanding Legal Receptionist is a polished professional who creates a positive first impression.

Legal Receptionist Responsibilities:

Welcoming clients and visitors upon arrival at the reception desk;

Answering, screening, and forwarding phone calls in a professional manner;

Assisting clients and visitors with the location of legal staff;

Scheduling and confirming appointments;

Preparing monthly correspondence to clients related to their upcoming hearings;

Observing business etiquette and maintaining a professional appearance;

Directing the flow of mail, faxes, and deliveries to reach the intended attorneys, paralegals, support staff, and/or recipients for the firm;

Ordering/replenishing/ or creating a list for requisition of office supplies;

Informing middle and/or senior management as it relates to the maintenance and repair of office equipment;

Assisting with copying, scanning, faxing, emailing, and note-taking;

Working with the firm’s Associate in order to provide assistance in the Collections Department;

Managing various collection’s files under the direction of our firm’s Associate;

Negotiating and settling collection’s files under the direction of our firm’s Associate;

Working closely with the firm’s Operations Manager/Director of Client Relations by collecting initial deposits and replenishments (when directed) and creating client invoices and client receipts;

Working closely with our firm’s Managing Attorney in order to assist him with the administrative aspects upon filing a Chapter 7 bankruptcy for our clients;

Assisting our Director of Client Relations and/or Operations Manager with all facets needed to maximize the firm as directed (e.g. Creating Retainer Agreements, Initial Deposit and/or Replenishment Receipts, Reconciliation of Accounts, etc.); and

Completing other general offices duties as may be assigned by middle and senior management.

Legal Receptionist Requirements:

High school diploma or GED and/or its equivalent;

Formal qualification in office administration, secretarial work, or related training;

Qualification in paralegal studies or similar preferred that is compliant with Business & Professions Code Section 6450, et seq.;

Prior experience as a Legal Receptionist or Administrative Assistant will be advantageous;

Ability to pay close attention to detail without leaving much wiggle room for error;

Familiarity with legal terms, legal documents, and alpha and numeric filing;

Excellent written and verbal communication skills;

Extensive experience working with word processing, spreadsheets, printers, copiers, scanners, faxes, and appointment scheduling and call forwarding systems; and

Exceptional interpersonal and communication skills.
