We are seeking a detail-oriented and dependable Order Processing Specialist with a strong background in QuickBooks and a passion for numbers. The ideal candidate will have at least two years of relevant experience and a proven ability to manage estimates, invoices, purchase orders, and freight quotes with accuracy and efficiency. This is a non-sales role, offering a great opportunity for growth within a dynamic and fast-paced environment.
Key Responsibilities:
Processes customer orders for delivery or pickup in accordance with company guidelines
Communicates with customers via phone and email to provide updates on order status and discuss options
Collaborates with the Vendor Warehouse Manager to resolve any order discrepancies
Coordinates with Sales Representatives to address orders that do not meet fulfillment requirements
Verifies the accuracy of order data by cross-checking information with warehouse staff and customers
Ensures timely processing of all customer orders by completing necessary tasks efficiently
Creates and manages estimates, invoices, and purchase orders using QuickBooks
Generates freight quotes as needed
Handles multiple invoices, estimates, and purchase orders daily
Maintains a high level of organization and attention to detail in all tasks
Ability to work independently with minimal supervision in a fast-paced environment
Maintains professionalism, dependability, and excellent attendance
Qualifications:
Minimum 2 years of experience with QuickBooks for order processing
Strong attention to detail and a “numbers person” mindset
Ability to work efficiently and meet deadlines in a fast-paced environment
Ability to communicate effectively with customers, co-workers, and internal teams
Strong multi-tasking skills
Knowledge of Microsoft Office Suite (Word, Excel, Outlook) is preferred
Professional demeanor with a strong sense of responsibility and reliability
