Office Manager

We are looking for a dynamic Office Manager with a unique combination of construction industry knowledge and accounting expertise. The ideal candidate will have a type A personality, strong Admin, and accounting experience. This person would be eager to do and learn anything in the office, understands the construction business. They will play a critical role in managing the office operations, overseeing administrative functions, and providing financial support to ensure the success of our construction projects. SCHEDULE: M-F, 8AM - 4:30PM

PAY: $65,000 - $70,000

QUALIFICATIONS:

Minimum of [5-10] years of experience in office management, accounting background, with a focus on construction industry operations.

Strong understanding of construction project lifecycle, terminology, and processes.

Proficiency in accounting software (e.g., QuickBooks, Sage) and Microsoft Office Suite.

Excellent organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.

Strong communication and interpersonal skills, with the ability to collaborate effectively with diverse teams and stakeholders.

RESPONSIBILITIES:

1. Office Management:

Oversee day-to-day office operations, including managing administrative staff, scheduling, and maintaining office supplies and equipment.

Ensure efficient workflow and communication within the office, fostering a positive and collaborative work environment.

Implement and maintain office policies and procedures to enhance productivity and efficiency.

Onboard new hires.

Organize.

Clean-up various unfinished projects.

Be detail oriented.

Expert level of QuickBooks.

2. Construction Project Support:

Provide administrative support to construction project teams, including assisting with bid preparation, contract management, and project documentation.

Coordinate project meetings, prepare meeting agendas and minutes, and follow up on action items as needed.

Liaise with subcontractors, suppliers, and clients to facilitate communication and resolve issues in a timely manner.

3. Accounting and Financial Management:

Manage accounts payable and receivable processes, including invoicing, billing, and collections.

Assist with financial reporting, budgeting, and forecasting for construction projects.

Conduct regular reconciliations of accounts and ensure accuracy of financial records.

Collaborate with the finance team to support month-end and year-end closing processes.

Do month End.

Handle receivable entries.

Project costing.

Experience with A/R and A/P.

4. Compliance and Risk Management:

Ensure compliance with accounting principles, industry regulations, and company policies.

Identify potential risks related to project finances and office operations and implement appropriate controls and mitigation strategies.

Maintain up-to-date knowledge of construction industry standards, regulations, and best practices.
