Description Position Overview: Assistant to the CEOJob Type: Full-timeResponsibilities:Communication Management:

Serve as the first point of contact with the CEO's office for all communications.

Independently decide to redirect or refer communications based on consultations with the CEO or executive leadership.

Representation and Communication Skills:

Exercise appropriate judgment in representing the CEO and PRIDE in oral and written communications to various audiences, including employees, managers, executives, board members, customers, parents, stakeholders, and the public.

Executive Team Support:

Coordinate priorities of the team of Executive Assistants to ensure optimal allocation of work and support for the Senior Executive Team.

Direct the priorities and assignments of Executive Assistants consistent with support requirements of the Senior Executive Team.

Document Preparation and Review:

Write, research, and review a wide range of materials such as internal and external correspondence, executive reports, monthly board reports, board agendas, board minutes, and presentations.

Calendar and Office Management:

Manage the CEO’s calendar, schedules, and meetings.

Provide resources, background materials, and information to prepare the CEO for meetings; book travel and related services.

Office Operation:

Manage the CEO’s office to ensure its smooth operation.

Track and follow up on numerous items between the CEO and direct reports.

Event Planning:

Plan, manage, coordinate, and purchase goods and services for key corporate events, including board meetings and other external stakeholder or professional group meetings.

Additional Duties:

Perform other duties and special projects as assigned.

Requirements

Minimum Qualifications:

Five or more years of experience in an executive support role at the CEO or senior executive level, with responsibilities for office management and administration.

Ability to establish priorities and anticipate the needs of the CEO, with urgency and flexibility in responding to changing priorities and handling numerous projects at the same time.

Experience working with boards of directors, maintaining board and corporate files and documentation, including drafting minutes from Board meetings; effective working relationships with board members, executives, customers, external agencies, and other high-profile individuals.

Proficiency with email and electronic contact and scheduling tools; use of technology to track and handle numerous recurring tasks.

Advanced level computer skills in word processing, spreadsheet, electronic file management (e.g., Sharepoint), and presentation software; familiarity with creating a variety of documents, letters, presentations, spreadsheets, and reports.

Knowledge of administrative practices, standards, procedures, and equipment; use of organizational skills to ensure the smooth operation of the CEO’s office.

Ability to communicate effectively both orally and in writing; make presentations and respond to inquiries by management, team, or customers.

Human relation skills to build effective relationships with the team and internal customers.

Knowledge of business English, including vocabulary, spelling, and correct grammatical usage and punctuation.

Ability to establish priorities and solve a wide range of business problems.

Demonstrated customer service, common sense, problem-solving, and analytical skills.

Flexibility to respond to changing work priorities and handle numerous projects at the same time.
