Job Description:
We are an electrical contracting company seeking an organized and proactive Production Coordinator to join our team. This role is essential for ensuring efficient scheduling, communication, and coordination between our electrical technicians, HOA managers, suppliers, and clients. The ideal candidate will have strong organizational and communication skills, the ability to multitask, and experience in an electrical or service-related industry.
Key Responsibilities:
Job Scheduling: Coordinate and schedule jobs with electrical technicians, ensuring optimal efficiency and timely completion of projects.
Job Completion Communication: Email daily reports to HOA managers, informing them of job completions or service call resolutions.
Permit Management: Obtain and manage permits for electrical installations, ensuring compliance with all local regulations.
Utility and City Coordination: Submit and manage applications with PG&E, SMUD, MID and City officials for project requirements.
Materials Management: Order and track necessary materials, electrical parts, and supplies for projects. Maintain close communication with suppliers and follow up on orders to ensure timely delivery.
Estimate Review: Review estimates provided by the estimator to understand project requirements and coordinate logistics accordingly.
Client Communication: Act as a point of contact for HOA managers, clients, and vendors. Answer phone calls and respond to emails promptly and professionally.
Marketing and Relationship Building: Engage in marketing initiatives to promote company services, including communication with managers, attending meetings, and building positive relationships with key stakeholders.
Vendor Liaison: Assist the Estimator to work directly with electrical shops and suppliers to order materials, ensuring quality and cost-effectiveness. Maintain good relationships and follow up on material availability and delivery timelines.
Qualifications:
Proven experience in a coordination or administrative role, preferably in an electrical or service-related industry.
Ability to read and understand job estimates.
Strong analytical and problem-solving abilities.
Strong organizational and Capable of multitasking effectively and efficiently in a fast-paced workplace.
Excellent communication skills, both written and verbal.
Familiarity with the process of pulling permits and coordinating with utility companies (e.g., PG&E) is preferred.
Hands on experience with Microsoft Office, including Excel, Outlook, Teams as well as Adobe Acrobat, Dropbox, Zoom, etc., Google docs, and Dispatch software
Ability to work independently, take initiative, and manage multiple priorities effectively.
