Position Overview:
The Patient Coordinator plays a critical role in guiding patients through their aesthetic journey — from the initial consultation to post-operative care. This is a fast-paced, highly interactive role that requires excellent communication skills, strong attention to detail, and a passion for patient care.
Responsibilities:
Greet and assist patients in person, via phone, or email with warmth and professionalism
Schedule consultations, pre-operative appointments, and follow-up visits
Educate patients about procedures, services, and financial policies
Coordinate surgical bookings and maintain accurate documentation
Collaborate with surgeons and clinical staff to ensure smooth patient flow and satisfaction
Process payments, prepare quotes, and manage patient records confidentially
Follow up with leads and consultations to help convert inquiries into surgical bookings
Maintain a clean, organized front desk and waiting area
Support marketing and patient outreach efforts when needed
Qualifications:
Minimum 2 years of experience in a medical or aesthetic office preferred
Background in plastic surgery, dermatology, or med spa setting a plus
Exceptional interpersonal and communication skills
Strong organizational and multitasking abilities
Proficiency in EMR systems and Microsoft Office
Professional demeanor and polished presentation
High level of discretion with sensitive and confidential information
Sales or customer service experience highly desirable
