Outstanding Biosciences company seeks dedicated Executive Administrative Assistant to provide support to executive, administrative, line and staff managers by assisting with complex details and performing advanced administrative duties. This role may handle special projects and execute research and data analysis tasks. Will analyze problems, determine approach, compile and analyze data and prepare reports. Coordinates activities between departments and outside parties. Contacts and interacts with all levels of employees to gather information and works collaboratively with various functional areas. Work is generally of a critical or confidential nature.
Duties will include but are not limited to:
Completes special projects supporting operations and/or other functions such as (but not limited to) filing, tracking, package distribution and special visitors
Anticipates needs of executives and proactively plans, implements, and executes daily tasks
Maintains calendars, schedules meetings, sends Outlook calendar appointments, reserves conference rooms, and coordinates logistics for meetings, including audio/visual needs, agendas, presentations, and food and beverage catering
Supports the processing of purchasing systems
Compiles expense receipts, and completes and submits reports for expense reimbursements and credit card charge processing/validation to the accounting department
Greets visitors in lobby and escorts to meeting rooms
Orders, office supplies via Coupa for department staff as needed
Assists with food deliveries and set up. Messages Front Desk of pending delivery vendor
Various clerical projects as needed
Coordinates domestic and/or travel arrangements in Concur
Other duties as assigned
Requirements:
High School Diploma / Associate degree and 2+ years of related experience or equivalent experience, training, and/or certification
Excellent oral and written communication skills, organization skills, and high attention to detail
Professional demeanor, high initiative
Ability to work efficiently and with limited supervision
Ability to interact with employees at all levels
Computer expertise
Previous experience using Concur and Coupa
Detailed calendaring experience a must
Uses established skills to perform a range of daily operations
Applies understanding of company policies and procedures to complete assigned tasks
Understands how own area contributes to the achievement of objectives
